The Client Services Manager will ensure the integrity of data collected for registration and billing by collaborating with appropriate department(s). The Client Services Manger reports to the Director of Clinical Practice. Client Services Manager will also ensure adequate coverage and provide back-up/ supervision for support staff, assist with coordinating general facility oversight, and purchasing in coordination with the Director of Clinical Practice. Responsibilities: Manage Administrative tasks of the R&R and Billing departments Assesses and makes recommendations to improve efficiency of current systems/processes for applicable registration and financial services Formulates and implements policies and procedures to facilitate the efficient functioning of related departments Reviews and approves refunds as they relate to client and third-parties Ensures compliance with applicable laws and regulatory standards Keeps abreast of federal, state, and country rules and regulations pertaining to collection Oversee all functions related to Reception, Registrations and Records Department and Billing to ensure confidentiality, continuity of services, access, and review standards are met according to contract. Ensures the accuracy of third-party allowances Ensures changes due to third-party regulations are implemented correctly within a proper time frame Maintain records and outcome data per the agency policy Maintain confidentiality per HIPAA guidelines and laws Maintain positive working relationships with referral sources. Will keep informed and disseminate pertinent regulatory and insurance related information in order to promote timely and efficient collection of outpatient service encounters Supervise Records and Registration Leads, billing staff and oversee other Office Management responsibilities Performs responsibility as a liaison for the gathering of financial documentation to the Controller Make recommendations for hiring, new R&R and billing positions to the Director of Clinical Practice Train, supervise and evaluate direct reports Facilitate team meetings and providing training and development opportunities for staff Electronic Health Record and Finance responsibilities Works with Billing and Finance staff to reconcile differences between the submitted encounters and data provided by payers. Represents the operational and finance needs of the agency with payer finance and accounting departments. Works with payer representatives to ensure that data provided reconciles correctly.
