Property Assistant needed to support non-profit housing organization - Vancouver, WA.
Job Description
The Property Assistant provides office and clerical support to the assigned Property Manager. This role includes assistance with waiting lists, leasing, HUD and tax credit tenant certifications, maintenance and grounds scheduling, work order tracking, file management, and other related duties.
Responsibilities
Assist in managing waiting lists and selecting qualified applicants in compliance with Housing and Urban Development (HUD) guidelines and/or Washington State Housing Finance Commission (WSHFC) guidelines for tax credits.
Show units, properties, and features available for rent.
Create move-in paperwork and assist in conducting move-in inspections, including building and amenity orientation, unit orientation, and completing condition checklists.
Counsel residents regarding building rules and lease obligations as needed.
Prepare, distribute, and monitor intake, interim, and recertification packets when applicable.
Verify and perform calculations for applicant/resident income, assets, and applicable deductions.
Input data into the computer system and/or worksheet for Property Manager review and approval within the required timeframe.
Assist in maintaining resident files and DocuWare scanning/storage, ensuring file creation and management meet VHA, HUD, and/or WSHFC requirements.
Generate, close, and scan maintenance work orders into the system.
Respond to tenant calls requesting work orders, ensuring area standards are followed regarding permission to enter, maintenance worker assignment and notification, and tenant communication.
Assist in processing reasonable accommodations.
Update current information regarding vacancies.
Schedule building system tests and services.
Assist with rent collection and preparation of tenant rent statements.
Conduct regular site visits to monitor property conditions, including issuing yard tickets, infraction/towing notices, etc.
Discuss lease violations with residents as needed and inform the manager of conversations/concerns.
Ensure tenant leasing areas (office/lobby/etc.) are clean and in good repair.

Additional Skills & Qualifications
High school diploma required, plus some higher-level education or vocational training specializing in office skills and/or housing-related subjects.
At least 2 years of directly related experience or equivalent required.
Associate’s degree (AA) preferred.
HUD 202 and tax credit experience preferred.
Work Environment
The role is based in an office environment with working hours from 8 AM to 5 PM, Monday to Friday. The work involves meaningful engagement in addressing affordable housing and homelessness in the community.
