Summary:

Project Coordinators work hand in hand with our Sales & Project Management Team to help coordinate and manage the entire project from startup to closeout. This position is administrative focused requires a great deal of organization, detail oriented, and great customer service skills. This position is customer-facing and requires great customer service skills. Project Coordinators will be the primary administrative support between the Project Managers, vendors, and customers.

Reports to: Automation Solutions Group Manager

Minimum Qualifications:

  • Associates degree in Electronics or equivalent work experience

  • 1+ year of customer service experience

  • Ability to comprehend, read, and communicate the English language orally and in writing.

  • Computer skills including Windows based applications.

  • Sit for long periods of time.

  • Travel within the Pacific Northwest

Preferred Qualifications:

  • Comply with all U.S., State, and local laws

  • Manage tasks and projects in accordance with industry standards as our company

  • Manage and coordinate multiple projects at the same time to ensure they are completed on time, on budget, and on scope.

  • This includes but is not limited to:

  • Ensuring scope, BOM, etc. are accurate and matching for all documentation

  • Excellent communication between team members, the customer, vendors, etc. in information and updates

  • Reviewing terms and conditions, billing/progress payments, are done in conjunction with the PCs.

  • Maintain shipping schedules on projects and update customers daily/weekly.

  • Share project status and or present information both internally and externally on regular disciplined means and methods (power point, email, etc)

  • Handle all requests for information in a professional, complete, and thorough manner

  • When necessary, create Purchase Orders, sales registers, and other documents for all items that are related to the Scope of Work and/or Bill of Material.

  • This includes but is not limited to:

  • Services

  • Products

  • Freight and other charges

  • This includes necessary change orders and other changes to the overall project

  • File and keep records in the appropriate platform (CEDNet, sharded folders, Salesforce, etc.)

  • Customer File

  • Back Order and Special-Order Files

  • Job Files

  • Open Purchase Order Tub

  • Direct Order Tub

  • Research Credit Memos

  • Open incoming mail/packages as well as prepare outgoing mail/packages

  • Assist with credit and sales problem resolution.

  • Control record retention

  • Answer telephones promptly and professionally.

  • If necessary, communicate messages and information to appropriate parties if they are unavailable.

  • Photocopying/scanning of documents

  • Turn all paperwork in promptly and correctly. Under limited circumstances should you physically retain original documents (such as register, RGAs, credit memos, etc.)

  • Comfortable having detailed project discussions on the phone or web conferencing.

  • Work closely with Outside Sales to solidify customer relationships.

  • Collaborate with industry partners to resolve issues.

Working Conditions:

Working conditions will be standard to an office environment. Remote work is available with occasional travel requirements.

  • Receive and forward customer and vendor feedback while making suggestions for improvement.

  • Desire to exceed expectations and earn customer trust and confidence in one’s capabilities and performance.

  • Proactively follow-up with outstanding requests, activity, etc

  • Issues can always arise that are outside of our direct control, but it is essential to communicate those prior to the customer finding out through a missed deadline or expectation.

Compensation Range:

The compensation range for this position is $60000 to $65000 annually.
