Catholic Community Services Volunteer Coordinator III in Tacoma, Washington

Catholic Community Services, Homeless Services is the largest provider of adult homeless service in Pierce & Kitsap Counties, Washington. Homeless Services consists of Homeless Adult Services (HAS) and Family Housing Network (FHN). Homeless Adult Services consists of three programs in Pierce & Kitsap Counties: Nativity House (NH), the Stability Site (SS) and Benedict House (BH), as well as temporary programs such as Inclement Weather Overflow, COVID Hotel Sheltering, and other short-term services. Family Housing Network (FHN) services include Family Day Shelter, Supportive Services for Veteran Families (SSVF), Rapid Rehousing (RR) and Coordinated Entry (CE). These services are the central hubs to serve homeless adults and families in the Pierce County region.

The Nativity House operates 24 hours/7 days a week, offering emergency services (emergency shelter, meals, systematic outreach, rapid rehousing, mental health and co-occurring disorder treatment, employment services, spiritual support, 50 units of permanent supportive housing, etc.) to meet the basic needs of individuals experiencing chronic homelessness and guests, and meeting their goals. Family Housing Network provides a drop in Day Center for families, including Coordinated Entry and navigation services. FHN also provides Rapid Rehousing to families and veterans, as well as supportive services to 66 units of Permanent Supportive Housing to families with children.

Responsibilities

Volunteer Recruitment & Coordination

  • Ensure VS Policy compliance: demonstrate knowledge and understanding of VS policies and procedures, and maintain knowledge and understanding of contracts.

  • Speak about the CCS mission to our network of 38 partner churches in Pierce County, and subsequently recruit volunteers in these congregations with a background in ministry and pastoral care.

  • Solicit, receive, organize, and manage a high volume of in-kind contributions including food, clothing, and other items.

  • Organize and maintain Volunteer Chaplain Schedule, as well as schedule for all volunteers who support operations in the Nativity House.

  • Recruit, screen, interview, schedule, track and place volunteers based on needs, interests and skills. Process background checks and ensure completion of all paper- work, as described in the CCS Volunteer Policy.

  • Provide program orientation to maximize understanding of program policies, assure confidentiality, promote safety, increase retention and assure compliance with program/contract/agency guidelines.

  • Maintain regular communication with volunteers and volunteer groups for retention and engagement in the program.

  • Keep a record of volunteer hours worked and maintain contact with DOC and DSHS for Community Service volunteers.

  • Serve as liaison between volunteers and program supervisors to ensure programs are covered.

  • Develop and maintain tracking systems for required forms, as per CCS Volunteer Policy.

  • Collect and maintain volunteer forms in files as required by policy. Maintain updated contact information for volunteers.

  • Gather and provide data and stories for newsletters, as requested by Office of Fund Development.

  • Participate in quarterly volunteer audits, as required by agency policy.

  • Maintain positive working relationships with staff, collaborative members and community partners.

  • Recruit, train and manage Interns and Career Path Service volunteers through service learning objectives, review and maintain contact with appropriate program contract liaisons.

Volunteer/Staff recognition

  • Plan and present volunteer recognition activities.

  • Mail newsletter (if applicable) to volunteers.

  • Prepare articles for media coverage, which feature VS volunteers.

Training

  • Provide training and orientation to volunteers within a homelessness context, examining common issues concerning our guests and staff members.

  • Assist department with facilitating trainings for staff.

Services

  • The Volunteer Coordinator will be in charge of organizing services at the new Nativity House Chapel and coordinating ministers to lead these times of worship and reflection for a unified body of guests, volunteers, and staff.

  • Reporting: Provide regular reports to the Volunteer Services Program Director.

  • Develop and maintain an information gathering/reporting system.

  • Maintain contact with program volunteers on a regular basis.

  • Gather required contract information on a monthly basis.

  • Document required contract information on a monthly basis or as needed.

  • Prepare monthly reports and other required Volunteer Services information report material.

  • Understand and utilize Volunteer Services computer network reporting system.

  • Keep accurate and regularly maintained daily records.

  • Train the volunteers effectively to maintain good records.

  • Read and understand clearly the current VS/CCS policies and procedure manuals, and guidelines.

System-wide collaboration

  • Work collaboratively with other Nativity House and Family Housing Network supervisors to provide coordinated services to guests and to coordinate the assignment and supervision of volunteers.

  • Participate in HAS, FHN and VS supervisor meetings.

  • Other duties as assigned.

  • Develop and maintain a workplace consistent with CCS Mission.

  • Focus attention on CCS mission statement through signage, etc.

  • Maintain appropriate professional standards.

  • Respect cultural and religious diversity among clients/volunteers/staff.

  • Treat staff and everyone connected with CCS-VS fairly.

Qualifications

MINIMUM QUALIFICATIONS

  • AA in social services or related field or equivalent work experience.

  • Three years’ experience in Social Services.

  • Should be familiar with both the church network and services for the homeless population.

  • Prior experience working with local churches and in developing volunteer efforts.

  • Experience with and knowledge of homeless population.

  • Proven track record in supervising staff or volunteers.

  • Applicant must successfully pass required background checks prior to an offer of employment.

  • Must have reliable transportation, valid driver’s license, auto registration and automobile

  • Must have an acceptable driving record per CCS’ driving (required to provide current driving abstract)

  • Support and uphold the mission, beliefs and values of Catholic Community Services and Catholic Housing Services and a knowledge of and commitment to working within the Social Teaching of the Catholic Church

  • Support and contribute to a creative, collaborative and respectful environment that promotes teamwork

  • Demonstrates the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in multi-cultural situations

PREFERRED QUALIFICATIONS:

  • Experience working with the homeless population.

  • Experience working with volunteers.

  • Experience in public speaking/making presentations.
