Job Title: Union Payroll Specialist

Job Description

We are seeking a dedicated Union Payroll Specialist to join our team. This role involves managing various payroll and administrative tasks for unionized employees. The ideal candidate will have a strong background in payroll processing, accounts payable, and general ledger management. You will play a key role in ensuring the accurate and timely processing of payroll and invoices.

Responsibilities

  • Answer phones, sort mail, and handle filing and scanning.

  • Assist with obtaining final invoices for Purchase Orders when a job is completed by contacting vendors to verify rental returns and confirm all invoices for POs.

  • Post receipts for credit card purchases, review credit card statements, and reach out to cardholders for missing receipts.

  • Assist Accounts Payable with invoice entry during busier times.

  • Review union dispatch and I-9 forms.

  • Enter new employees and verify information on existing employees.

  • Create timecards from job timesheets and enter time into journals, reconciling to job timesheets.

Essential Skills

  • Experience with Dynamics and Microsoft Excel.

  • Knowledge of payroll tax and union payroll processing.

  • Proficiency with payroll software and accounts payable.

  • Strong data entry and accounting skills.

  • Experience with reconciliation and payroll accounting.

  • Ability to analyze payroll data.

Additional Skills & Qualifications

  • Strong customer service skills.

  • Proficiency with Microsoft Office 365 (Word, Excel, Outlook, Teams).

  • Experience with VoIP phone systems.

  • Familiarity with general office equipment (printers, copiers, scanners).

  • Experience with Microsoft Navision Attain accounting system.

  • Strong understanding of job cost accounting principles.

  • Previous experience in a union workplace payroll environment.

Work Environment

The role is based at our office in Tacoma, WA,. The work hours are from 8:00 AM to 4:30 PM, Monday through Friday. The work environment is 100% onsite in a gated complex, and there may be times when the employee is alone in the building. The work involves supporting accounting activities for the Tacoma branch office and occasionally backing up the Portland office when necessary.

Pay and Benefits

The pay range for this position is $26.00 - $28.00
