TOTE Maritime Alaska, LLC Terminal Specialist in Tacoma, Washington

TOTE Maritime Alaska, the leader in safe and reliable service to Alaska, is seeking a Terminal Specialist to join the team at our Tacoma Terminal office.

In this position you will:

be responsible for providing excellent customer service by answering questions, solving problems and fulfilling all aspects of the booking process.

Main Duties and Responsibilities Include:
  • Provide customer service to internal and external customers, including phone, email and face-to-face contact with drivers and customers. 
  • Create and update bookings.
  • Arrange deliveries and pickups, if necessary, schedule driver appointments at the terminal.
  • Assign customer booking(s) to a designated TOTE Maritime Alaska vessel.
  • Answer customer questions regarding vessel sailing or other operational requirements. 
  • Inform customers of applicable policies and regulations related to shipment.
  • Reconcile yard inventory.
  • Resolve customer and vendor issues.
  • Customer communication internally and externally.
  • Resolve various terminal issues involving vehicles.
  • Create temporary organizations and add new contact information to existing organizations.
  • Monitor and correct all Web and EDI bookings.
  • Process customer payments if necessary.
  • Run and audit various computer reports. 
  • Daily communication with other departments.
  • Provide support throughout the department. 
  • Perform accurate and efficient data entry/keyboarding.
  • Effectively perform additional duties, as assigned.

The ideal candidate will have:
  • Associate's degree preferred.  
  • One to two years of customer service or billing experience, preferably in transportation.
  • Excellent customer service skills.
  • Excellent verbal and written communication skills.
  • Good math skills.
  • Good organizational skills.
  • Must be a team player. 
  • Ability to multi-task and prioritize.
  • Ability to work with minimal supervision.
  • Ability to work flexible hours, including evenings and weekends, as required.
  • Computer literate, with the ability to utilize standard software applications and be proficient in Windows and MS Office Suite (Outlook, Word, PowerPoint and Excel) and E-service center & E-commerce web-based applications.

The salary range is $38,300 -- $67,100 with an anticipated hiring range of $42,000 - $50,000. Pay will be based on several factors including the candidate's education, work experience, work location and specific job duties.
