This position has the full responsibility and authority to serve in the absence of the Clerk. Plans, organizes, and coordinates the work of department staff ensuring compliance with established policies, procedures, and law while exercising independent judgment. Assist the Clerk develop and implement office policies, procedure, methods, and practices to improve the workflow of assigned functions. Work is varied so must be adaptable to assist in other areas as needed. Position requires technical knowledge of all facets of the office and its functions.

Examples of Duties

Assist the Clerk with selecting, assigning, training, supervising, and evaluating the work performance of assigned staff. Assist in the making of decisions regarding personnel matters and actions. Implement policies, procedure, work rules and performance standards to ensure departmental compliance with all County guidelines, goals and objectives, and with federal, state, and local laws. Periodically review and analyze existing practices and procedures and recommend improvements, as needed.

 

Direct department operations to achieve goals within budgeted funds and available personnel; plan and organize workloads and staff assignments, reviews progress, direct changes in priorities and schedules as needed to assure services are provided in a safe, efficient, and timely manner.

 

Analyze and interpret written court orders to determine appropriate procedures utilized. (i.e., payments made from Court registry, writs issued, etc.) Manage the ODYSSEY and MUNIS accounting systems.

 

Assist in the management of the jury system. Assist the public at the counter, over the telephone and via mail by answering questions, requests, and research for information.

Collect, receipt, and/or disburse money for all case filings, fees, fines and restitution.

 

Process warrants of arrests, abstracts of judgments, garnishments and all writs. Prepare court calendars and is a courtroom clerk during court sessions and trials, takes minutes and records all proceedings, marks exhibit, processes orders of the court and all court documents.

 

Prepare forms, reports, memos and letters, including registering and invoicing individuals and firms for ODYSSEY portal usage.

 

Provide information, advice, or directions concerning Clerk's Office services, including response or intervention regarding difficult problems or questions raised by the public, attorneys, or other parties served by the office.

 

Act as back up to assigned Public Records Officer for the department.

 

Ensure online banking requirements and reconciliation are completed in a timely manner and within the guidelines as set forth by the State Auditor and County Treasurer.

 

Regular, reliable, and punctual attendance. 

 

Other duties as assigned. 

 

Knowledge of:

  • Functions and procedures of the Clerk's Office and general knowledge of countywide departmental functions and procedures.
