The Coastal Sciences Division is based across different Pacific Northwest National Laboratory's sites, including Seattle, Portland, Richland and Sequim on Washington State's Olympic Peninsula, where PNNL-Sequim hosts the Marine and Coastal Research Laboratory (MCRL) the Department of Energy's only dedicated marine laboratory. This unique facility and the capabilities of the Coastal Sciences researchers deliver science and technology that is critical to the nation's energy, environmental and security future.

The coastal research encompasses a broad range of disciplines, including coastal ecosystems, environmental biogeochemistry, coastal resources modeling, technology development and biotechnology, biofuels development, marine energy development and offshore wind. These underpin three key themes for research:

  • Enabling sustainable development of ocean energy

  • Understanding and mitigating long-term impacts of human activities, including climate change, on marine resources

  • Protecting coastal environments from security threats


Performs administrative and office support activities. Duties may include managing schedules, emails, and travel, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders.

Job duties and expectations include, but are not limited to:

  • Perform general administrative functions in a professional, consistent and reliable manner

  • With a high level of accuracy and attention to detail, provide responsive assistance to staff to address a wide range of needs

  • Strong organization skills and time management; ability to manage a high number of simultaneous requests

  • Create and maintain a strong network and establish positive working relationships within the CSD administrative team as well as throughout the directorate and Laboratory.

  • Work with hiring manager to support hiring process; assist with posting, track new hire candidates and maintain interview schedules

  • Coordinate workload and priorities with the Division Administrator and Administrative Team

  • Purchasing, order tracking, and reconciling using purchase card system in accordance with strict PNNL policies

  • Process travel expense reports

  • Schedule and help with set-up/clean-up for meetings/seminars

  • Working knowledge of Microsoft Office software

  • Support online meetings (Teams, Zoom)

  • Maintains common area machines, initiate service requests and troubleshooting

Additional tasks and projects as needed


Minimum Qualifications:

  • High School Diploma 2+ years' experience in a clerical or administrative environment, or

  • Combination of education and experience.

Preferred Qualifications:

  • Strong written and verbal communication skills.

  • Ability to articulate standard policy and procedures to multiple audience levels.

  • Basic understanding of departmental and company policies, procedures and practices.

  • Understands internal software programs.

  • May be designated to provide general administrative support to a work group(s).

  • Maintains common area machines and initiates service requests.

  • May attend meetings.

  • Plans travel and processes expense reports.

  • Some experience working in human resource or with confidential process/procedure

  • Ability to quickly learn complex internal software programs

  • Knowledge of PeopleSoft, expense systems

  • Experience with shipping logistics

  • Experience working for PNNL, DOE, or other government contractor

  • Associate Degree
