The Department of Environmental and Occupational Health Sciences (DEOHS), housed in the School of Public Health at the University of Washington has an opening for a full-time Training Grants Manager (payroll title: Program Operations Specialist, Grade 9).

Under minimal supervision by three senior faculty training grant directors, the DEOHS Training Grant Manager is responsible for the operational administration of three large interdisciplinary graduate training grants, Northwest Center for Occupational Health and Safety (NWCOHS), Biostatistics, Epidemiologic, and Bioinformatics (BEBTEH) and Environmental Pathology Training (EPT).

The NWCOHS, funded by CDC/NIOSH, is an educational and research center providing professional education and research services to faculty, and graduate students, and community health and safety professionals in Alaska, Idaho, Oregon and Washington. The NWCOHS is comprised of eight programs and an administrative core, housed in the UW Schools of Public Health, Nursing, and Medicine with a budget of $1.8M per year. The BEBTEH and the EPT, funded by NIH/NIEHS, are interdisciplinary graduate training grants including several UW departments and housing graduate students as well as post-doctoral scholar trainees.

DUTIES AND RESPONSIBILITIES DEOHS Training Grant Administrative Management – Cross-cutting Department centers/training programs (ERC/NWCOHS, NIH/NIEHS BEBTEH & EPT): (40% FTE) • Oversee the establishment and compliance adherence for graduate student appointments aligned with the sponsor requirements. • Interpret the requirements and serve as a liaison with the sponsor representatives to clarify questions and ensure adherence and compliance. • Works very closely with graduate students and post-doctoral scholars to provide guidance regarding training grant expectations, solicit data used for sponsor reporting, and oversee administrative staff supporting various student needs. • Liaison with department staff including an HR Manager tasked with setting up student appointments in Workday, the DEOHS Office of Academic Services staff, as well as the department Director and Assistant Director regarding grant management, resources, and guidance aligned with UW student support systems. • Oversees budgetary compliance, sponsor regulations, and departmental student appointment policies. • Establishes and oversees operational mechanisms to ensure compliance with sponsor requirements. • Conducts overall grant management, including draft progress reports and competitive renewals. • Independently communicates with sponsor, UW Office of Sponsored Programs, and Grant and Contract Accounting. • Develops and maintains systems for record-keeping and communication functions. • Oversees and coordinates comprehensive financial reporting shared at site visits, annual advisory board meetings, quarterly program director meetings, and strategic planning sessions. • Conducts procurement review and approvals. • Works with graduate students to pay UW tuition in Student Database (SDB), secures and enters information and up-dates in federal student tracking databases, including eRA Commons xTrain. • The Manager serves as part of the leadership team for each of the training grants to consider and implement strategic initiatives, counsel the faculty mentors and grant directors, as well as represent the grant leadership to the other funded training grant sites across the country. • The Manager is also the lead department representative to develop and integrate policies and procedures adapting to overall UW changes including labor contracts, Financial Transformation, etc.

ERC/Northwest Center for Occupational Health and Safety (40% FTE) • Manage the ERC/NWCOHS working with the Director, Deputy Director and 10 senior faculty programmatic directors to lead strategic planning and implementation of the overall grant ensuring compliance with funded mission and aims. • Contribute to strategy development and implementation focused on student retention and management of financial support, record keeping, enrollment details, stipend allocations, among other essential components (20 accepted graduate students per year). • Provide frequent communication with Center trainees regarding Center activities; coordinate quarterly interdisciplinary center-wide activities for students and faculty. • Track stipend commitments. • Serve as the liaison between Center program directors and the DEOHS OAS regarding admission details and new student orientation. • Oversee website updates and maintenance, including working with Center faculty and trainees to write monthly NWCOHS blog posts. • Coordinate with fiscal analyst regarding overall budget implementation and status, budget set up and closure, sub-contracts, consultants, and federal reporting requirements, projections, and communications with UW fiscal offices. • Oversee, direct, and mentor administrative assistant performing activities to support the Center (event planning, external committee meetings, student gatherings, recruitment efforts, and Center website and social media outlets).

BEBTEH and EPT (NIH/NIEHS graduate training grants) (20% FTE) • Advise and guide faculty leadership regarding compliance with the grant expectations and the labor union contracts for ASE and post-doctoral fellows, coordinate with department staff regarding appointment letters. • Serves as a costing allocator in Workday if necessary. • Participates in department-level considerations of the funding gap issue between the grant award allocations and levels stipulated by union contracts. • Provides reports and background information to grant director leadership and department faculty leadership. • Analyzes commonalities in reporting requirements for the grants according to sponsor requirements and provides recommendations and develops system improvements and efficiencies that optimize both grants housed in the same unit. • Serves as a liaison for training grant expertise within the department, School, and broader UW administrative community.

MINIMUM REQUIREMENTS

• Bachelor’s degree in environmental health, communications, or related field. • Minimum four years of experience with grants and program management, preferably in higher education.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

• Proficient in Microsoft office programs including Word, Excel, PowerPoint. • Proficient in Google suite and shared drive and sheets and Microsoft 365. • Ability to work independently and as part of a team.

DESIRED QUALIFICATIONS

• Master degree in public health, public administration, occupational or environmental health, labor studies, or related field. • Experience with NIH system such as xTrain and eRA Commons. • Familiarity with web editing programs including Drupal or Word Press. • Experience with UW systems including Workday, SAGE, SDB
