Fred Hutchinson Cancer Research Center Team Coordinator Lead in Seattle, Washington

The Seattle Cancer Care Alliance (SCCA), located in Seattle, Washington, is part of a dynamic collaboration among three organizations known nationally and internationally for their patient care and research: Fred Hutchinson Cancer Research Center, University of Washington, and Seattle Children's. Over the past 25 years, these institutions have worked together to support their mission of adult and pediatric oncology patient care services, research and education.

The Lead Team Coordinator plays an important role as a front-line leader for the Imaging Support Staff, who are critical to operation of the entire division. The Imaging Support Staff create and maintain a smooth, efficient, and safe experience for our patients and clinical partners in Medical/Breast Imaging and the Procedure Suite. This role identifies and coaches staff in moving improvement projects and ideas forward and partnering with the Support Staff Supervisor on shared responsibilities, while also maintaining operations on the frontline.

The Lead Team Coordinator is a member of the care service team and acts as a professional liaison for patients and families, care providers, as well as other SCCA departments. The role uses critical thinking skills to facilitate and operationalize complex scheduling requests through heavy use of multiple computer systems. The scope of responsibilities include working independently to check in and schedule patients for imaging exams and procedures done in the Imaging Department at SCCA, the SCCA Mobile Mammography program and the Roosevelt Mammography Outpatient Center for the University of Washington.

Effective communication with the patients, the department supervisors and leads and outside physician’s offices is required. The individual works independently and is expected to use initiative and sound judgment to accomplish their duties in an accurate and timely manner. They must demonstrate knowledge and understanding of patient confidentiality of all medical, financial or other sensitive material relate to patient care in accordance with HIPAA laws.

  • Works closely with patients, families, visitors, providers and staff to identify needs, answer questions, resolve problems, provide information and follow up

  • Communicates with providers (physicians, therapists, etc.) technologists, and nurses regarding the patient's scheduling needs, treatment schedule, and additional requests. Notifies appropriate parties as needed.

  • Manages and prioritizes scheduling requests

  • Recognizes emergency situations and initiates correct code procedures

  • Supports the overall function of the department, and may be required to take on additional duties such as cross coverage, special projects, etc.

  • Communicates to the supervisor and fellow TC’s necessary instructions and feedback regarding department planning, improvements and processes

  • Assist in the management of day to day operations and serves as a point of contact to address patient needs

  • Assist with the management of workflow

  • Participates in the development of training materials

  • Assists with training and development of new staff

Required:

  • High school graduate or equivalent

  • Ability to identify and triage complex issues appropriately

  • Demonstrates initiative as evidenced by advancing technical skills, sharing knowledge with others and taking on more responsibility

  • Ability to take applied knowledge and make sound decisions on behalf of the department

  • Proficient in utilizing an electronic medical record system and/or an automated scheduling system

Preferred:

  • Bachelor's degree (BA or BS)

  • Two years of previous experience as a Team Coordinator

  • Familiarity with medical terminology

  • Bilingual skills
