The Team Coordinator serves as the primary point of contact for the scheduling concerns and coordination of patient related appointments in Infusion Services and Clinical Trials Unit (CTU). The incumbent will interface frequently with the Clinic Staff and Infusion/CTU charge nurses. This position is responsible for coordinating incoming calls related to same day requests, communicating effectively and proper follow-through based on process guidelines. Responsibilities include:

  • Coordinates patient schedule with Clinic TC and Infusion/CTU charge nurses

  • Communicates effectively to all team members via telephone and email in an effective and timely manner

  • Works collaboratively with other Team Coordinators as needed to assure accurate scheduling

  • Documents information on all communications in a complete and accurate manner

  • Understands Infusion/CTU flow and is able to prioritize and problem solve request with ease

  • Supports goals and objectives of the Infusion Services by participation as a team member in projects and/or work assignments

  • Regular attendance and punctuality are essential functions of this job in order to carry out the primary responsibilities


  • High school graduate or equivalent

  • One year of customer service experience

  • Ability to work independently, organizing, and prioritizing concurrent responsibilities and demands

  • Ability to work in a high pressure, time-sensitive, and complex health care environment

  • Ability to demonstrate sensitivity and empathy in an emotionally challenging environment

  • Active listening skills

  • Ability to build relationships while maintaining appropriate boundaries

  • Coping skills

  • Ability to work independently, organize, and prioritize concurrent responsibilities and demands

  • Ability to use a mouse, navigate computer programs, and use email in a business setting

  • Ability to communicate verbally in person, on the phone, and in writing in a clear and concise manner

  • Ability to identify and triage issues appropriately

  • Attention to detail to ensure scheduling accuracy


  • Bachelor's degree (BA or BS)

  • Previous medical office/hospital experience coordinating physician appointments and patient services

  • Familiarity with medical terminology

  • Bilingual skills

  • Prior experience utilizing an electronic medical record system and/or an automated scheduling system
