Typical Day in the Life A typical day as an Administrative Assistant might include the following: Manage and prioritize incoming workflow to meet all deadlines in a deadline-focused environment. Answer phones with professionalism, greet clients and direct them to the correct person. Coordinate staff meetings, conference calls and webcasts. Assemble final versions of tax returns for, individuals, partnerships, corporations, private foundations and other entities. Deliver electronically or via mail. Electronically update and monitor the status of tax returns and other projects according to Firm guidelines. Review, sort and route incoming mail; distribute outgoing mail. Create or update data using Excel spreadsheets. Update and monitor database information, including time record keeping and client demographic information. Assist partners, managers and staff with all office activities (faxing, scanning, copying). Research information for partners, managers and staff using the internet and other resources. Enter daily check deposits electronically. Compose and type routine correspondence including orders, memos, letters and reports. Order and stock supplies. Perform additional administrative responsibilities when needed. Who You Are You thrive in a high-volume, fast-paced work environment. You are highly organized and adept at prioritizing work. You are a multi-tasking master, and there has never been a deadline you could not meet. You hold yourself to the highest professional standards and maintain strict client confidentiality. You pay strong attention to detail and consistently achieve a high rate of accuracy. You are proficient in Microsoft Office (Word, Excel and Outlook). You have strong written and verbal communication skills, including proficient business writing skills. You are open to new challenges and assist with special projects as requested. You love collaborating and being part of a team but also enjoy working alone with limited supervision. Some heavy lifting and carrying is required (including but not limited to boxing up files and moving file boxes). In addition to all of this, you have a high school diploma, and you are willing to work overtime as needed (during tax filing periods). Must be authorized to work in the United States now or in the future without visa sponsorship.
