The Office of Minority Affairs & Diversity (OMA&D) has an exciting opening for a Stewardship & Events Coordinator. This is a full-time contract classified position.

The Stewardship & Events Coordinator position plays a critical role in promoting the work of OMA&D programs and scholarships through the coordination of donor engagement, stewardship, events, and advancement activities.

What You Will Do: Donor Stewardship (30%)

• Coordinate monthly stewardship and donor recognition process including high-touch stewardship engagement, reports, and in-person engagement. • Work closely with the Director for Advancement and the Academic & Student Affairs (ASA) stewardship team to maintain a comprehensive OMA&D donor engagement program. • Work closely with key leadership and staff to coordinate, schedule, and track stewardship activities. • Craft meeting briefings as needed in support of high-touch donor engagement. • Collaborate with the OMA&D advancement team to create opportunities for donors to understand the impact of their investment in OMA&D.

Event Coordination (30%)

• Play a key role in ensuring the success of signature annual OMA&D events including Celebration, VP Circle donor events, Friends of Educational Opportunity Programs (FEOP) board retreat, Samuel E. Kelly lecture series, and customized donor stewardship engagements. • Oversee event logistics from start to finish, serving as point person for guest registration, vendor and contract management, team planning meeting coordination, and timeline coordination through Cvent, Marketo, and other digital engagement tools, and more. • Work with vendors and contractors to produce event collateral and promotions, coordinating estimates, budgets, content, proofing process, printing, delivery, and more. • Define volunteer support and training and lead the work of student assistants. • Work in collaboration with key team members to proactively troubleshoot issues and ensure event success. • Coordinate post-event analysis and evaluations with recommendations for improving or streamlining processes for future events. • Review and/or support collateral production for events executed in partnership with or sponsored by OMA&D.

Communications (25%)

• Prepare custom communications in support of donor-awardee relationships including writing, editing and layout of impact reports. • Work through UW Beneportal to gather and upload students’ stories, edit their documents, and create impact statements and materials. • Ensure timely responses to donor contributions, inquiries, and activities. • Prepare award letters including pledge schedules and status notifications.

Administrative Support and Other Duties as Assigned (15%)

• Prepare endowment and gift transmittal reports in accordance with central advancement processes. • Work closely with the point of contact for the Vice President/University Diversity Officer in support of donor, outreach, engagement, and stewardship activities. • Prepare executive-level briefing packets. • Support independent projects as requested by the Vice President and/or Director for Advancement. • Other duties as assigned.

MINIMUM REQUIREMENTS

Bachelor’s degree in a related field AND minimum of two years of experience in alumni relations, development, public relations, event planning and/or other related experience.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. What You Bring:

• Proven verbal and written communication, including editing, skills. • Strong attention to detail. • Ability to work independently and as a collaborative team member. • Proficiency with Microsoft Office software applications, including Word, Excel, PowerPoint, Outlook and Teams. • Proficiency in, or willingness and ability to learn tools such as a CRM, Marketo, Cvent, Beneportal, and other software systems and products. • Commitment to the mission of higher education and diversity, equity and inclusion. • Experience in volunteer coordination, office or administrative support, and/or communications.

What You Can Expect:

• Cubicle/Open workspace environment which may result in additional or higher levels of noise and visual distractions. • Some evening and weekend hours required, as necessary, on short or limited notice. • Some local travel required. • Physical event support will be required, including setup, tear-down and 4+ hours of walking/standing.
