You will:

  • Manage complex calendaring for a pod of leaders, including scheduling meetings, coordinating appointments, and managing changes promptly.

  • Serve as the backup to other Executive Assistants, stepping in to provide support and manage tasks as needed.

  • Organize and prepare materials for executive meetings and presentations.

  • Coordinate travel arrangements, including booking flights, hotels, and ground transportation.

  • Assist in preparing expense reports and managing reimbursements for leaders.

  • Support the execution of team projects and initiatives, ensuring timely completion and high-quality results.

  • Provide exceptional administrative support, contributing to the effective functioning of the leadership team.

  • Collaborate on organizing events, team meetings, and other key activities that support the pod of leaders both internally and externally, including agenda preparation and general flow to ensure successful execution.

  • Address challenges and streamline processes to enhance efficiency and productivity.

  • Proactively solve problems, manage resources, ensure tasks and assignments are completed, and meet necessary deadlines.

  • Foster a collaborative and supportive environment to achieve common goals.

About you:

  • 10+ years of proven past experience as an Executive Assistant or in a similar administrative role supporting senior leaders.

  • Proven success in managing complex calendars and coordinating multiple schedules.

  • Excellent organizational and multitasking skills, with strong attention to detail.

  • Comfortable using technology to improve work efficiency. Proficiency with the full G-Suite, including Google Sheets, Docs, Slides, Calendar, and Gmail; video conferencing platforms; and other productivity tools.

  • Strong written and verbal communication skills.

  • Ability to maintain discretion and handle confidential information, exercising the highest levels of judgment and integrity.

  • Professional demeanor and ability to work effectively in a fast-paced environment.

  • Willing to serve as a culture ambassador for the organization.

Preferred Skills:

  • Experience working in a publicly traded tech company or similar high-growth environment.

  • Familiarity with arranging complex international travel itineraries.

  • Strong problem-solving skills and a proactive approach to tasks.

  • Ability to adapt to changing priorities and manage multiple tasks simultaneously.
