UW School of Medicine (SoM) is the only medical school directly serving the states of Washington, Wyoming, Alaska, Montana, and Idaho (WWAMI). The SoM is comprised of 32 basic science and clinical departments and has over $2.2 billion in revenue and annual expenses in support of its research, educational and clinical activities, and programs. The SoM has a total enrollment of over 1,100 medical students, 1,500 students pursuing the Doctor of Medicine degree, 2,700 full time faculty members and over 4,000 staff.

The School of Medicine’s Finance Team is currently looking for a Shared Environment Financial Analyst.

This position will assist the Shared Environment (SE) Director with managing major projects, business planning and analysis, developing and disseminating training and education, and performing internal audits for the School of Medicine’s fiscal structures and service model related to the SoM’s Shared Environment.

This position will partner closely with the SE Director develop and ensure proper internal controls and analyze operations of effectiveness including but not limited to the following business processes: workflows around customer requisition to payment, grant award to close, payroll, procurement, and accounts payable, and other accounting processes. The position will continually identify opportunities for improvement or gaps in business processes within the Dean’s Office units, 32 SoM departments, and the Shared Environment.

Core features of job: • Position requires internal UW working knowledge of the various fiscal processes and understanding of their impacts on the business. • Position plays a key role in developing the fiscal structures, policies, and procedures to support the continued development of the School’s Shared Environment. • Ability to collaborate amongst the School’s upper campus, departments, and Shared Environment to ensure proper execution of tasks or projects. • Will train or delegate all financial transactions, not perform transactions. • Position requires high degree of confidentiality.

DUTIES AND RESPONSIBILITIES Business Planning and Analysis (60%) : • Assist in managing complex initiatives through the full project life cycle, from initiation to implementation, including: • Designing project and governance structures, • Organizing and managing data, • Managing project timelines, tracking progress and preparing reports, • Organizing and facilitating project-related meetings with various levels of leadership, • Helping lead assessments of programs/services, including financial assessments, and • Gathering and analyzing data provided as part of the assessment work. • Employ a strong blend of technical and process redesign skills, leadership, and interpersonal and communication skills. • Apply independent judgement to perform analysis of data sets, financial information or business processes relating to functions or business operations that are being assessed as part of the project scope. • Use clear and effective written and oral communication in materials, presentations and interactions with stakeholders. • Lead the implementation, design, and staffing of the service model that is accountable to the SoM Departments and other Dean’s Office business units for each major business process workstream, including but not limited to workflows around customer requisition to payment, grant award to close, payroll, procurement, and accounts payable, and other accounting processes. • Partner closely with the SoM Dean’s Office HR team to develop optimal staffing models. • Represent the School of Medicine in campus-lead workgroups around finance transformation. • Ensure proper internal controls are in place, analyze operations for effectiveness, and as needed develop plans for continuous improvement, communicate with management, execute plan, monitor improvement, and report back to management. • Continually identify opportunities for improvement or gaps in business processes within the local units/departments and the Shared Environment. • Analyze financial systems and processes, and where appropriate, provide and coordinate revisions to those systems and processes. • Demonstrate high degree of confidentiality and professionalism. • Other duties as assigned.

Training and Education (30%) : • Partner with the UW, SoM Finance, and Department finance units in developing and maintaining the necessary training materials and procedure manuals. • Develop onboarding and education process for new hires within SoM departments and SE. • Provide onboarding and continuous training to the Shared Environment staff and local unit/department staff involved in the various fiscal business processes. • Effectively communicate any updates or changes to impacted teams to ensure adoption of new processes.

Internal Audits (10%) : • Partner with the UW, SoM Finance, and Department finance units in developing and maintaining the necessary training materials and procedure manuals. • Develop onboarding and education process for new hires within SoM departments and SE. • Provide onboarding and continuous training to the Shared Environment staff and local unit/department staff involved in the various fiscal business processes. • Effectively communicate any updates or changes to impacted teams to ensure adoption of new processes.

MINIMUM REQUIREMENTS • Bachelor’s degree in business administration, finance, accounting, or related field. • 5 years demonstrated experience in project management and business analysis

Additional Requirements: • Specific knowledge of the University of Washington's financial policies and procedures and systems. • Working knowledge of UW payroll, procurement, accounts payable, inventory, travel and expense reimbursements, billing and accounts receivable, financial reporting and analysis, and other related activities. • Deep understanding of UW and School of Medicine funding sources and mechanisms.

Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration. DESIRED QUALIFICATIONS • Demonstrated ability or experience to work with senior leadership as well as all levels of staff and must be able to communicate effectively (written and oral) to all. • Ability to work independently and exercise decision-making authority. Strong organizational skills to prioritize workload. • Strong and successful background in process development and improvement, strategic planning, change management. • Demonstrated success using Lean or similar process improvement tools. • A strong blend of technical/process design skills, leadership, group facilitation and communication skills. • Ability to interpret and communicate to others complex policies and procedures. • Proven leadership and strong communication skills. • Proven track record in exercising discretion and independent judgment effectively in decision-making processes. • Demonstrated experience of successful handling of multiple projects with critical deadlines. • Detailed understanding of financial audit controls.
