Pacific Northwest National Laboratory Senior Project Coordinator – Defense Energy Programs in Seattle, Washington

Overview

The Economics, Policy and Institutional Support Group is made up of staff engaged in institutional change for federal operations, policy formulation and impact analysis, economic analysis and valuation methodologies, and technology adoption. We work closely with over 300 subject matter experts across the broader Electricity Infrastructure & Buildings Division to support the Nation’s transition to a sustainable, efficient, resilient, and secure energy system through innovation and actionable solutions.

Responsibilities

We are looking for a Senior Project Coordinator with strong business planning, performance tracking (financial and deliverables), project administration, and proposal development skills.

Work assignments are received from Project Managers and Program Leads primarily working in the Department of Defense – Energy subsector. The Senior Project Coordinator is expected to take the initiative in completing project administration and management processes and procedures to ensure a smooth operation. Responsibilities for this position include:

  • Assist project managers (PM), principal investigators (PI), and task leads as needed.

  • Assist PM/PI with business planning and proposal development, including drafting Electronic Prep and Risk, developing statement of work/annual operating plan, generating cost sheets, and submitting proposal material in the work authorized lifecycle system.

  • Support the PM/PI with the overall health of the projects. Tasks will include setting up the project in Fusion, managing the work breakdown structure and financial allocations, clearing invalids, maintaining labor and spend plans, drafting the project management plan (PMP), tracking deliverables/ milestones, filing project records, and completing the project closeout process. Regular communication with the

  • Project Management Office Director (PMOD), business offices, and contracts teams is excepted.

  • Provide acquisition support as a technical oversight representative and initiate procurement activities. This may be in the form of a purchase requisition for Purchase Orders, B2B, or Purchasing Card transaction.

  • Manage project/program priorities and deadlines independently with the use of good judgment. Maintain a schedule and track actions items.

  • Communicate with internal and external sponsors, collaborators, stakeholder.

  • Prepare project management documents for meetings and monthly/quarterly reports; facilitate electronic communication links with internal and external collaborators through the use of websites, share drives, SharePoint sites, Teams, and video conferences.

  • Arrange meetings for project/program teams on and off campus, carefully following PNNL guidelines.

  • Maintain the project/program templates for reports and presentations. Submit items in Information Release (IR) and mark as delivered/published. Limited distribution access is essential for this process with CUI documents.

  • Serve as a subject matter expert as it related to PNNL/DOE/DOD policies, procedures and guidelines related to travel, publication, purchasing, project management, and contracts.

  • Mentor and coach junior project coordinator/administrative staff.

Qualifications

Minimum Qualifications:

  • Bachelor's degree and up to 2+ years of relevant experience

  • Advanced degree

Preferred Qualifications:

  • Bachelor’s degree and 4+ Years of experience.

  • Extensive knowledge of Battelle, PNNL, and DOE project management, proposal, and financial policies, procedures, resources, and organizational structures.

  • Experience with Department of Defense programs and/or projects.

  • Demonstrated intermediate to advanced Microsoft Project and Excel skills.

  • Excellent verbal and written communication skills.
