Swedish Health Services Scheduler Medical Imaging in Seattle, Washington


The Medical Imaging Scheduler provides a wide range of routine to moderately complex support tasks for medical imaging along with prioritizing multiple tasks during high volumes. These responsibilities include scheduling outpatient imaging services for CT, MRI, Ultrasound, and Radiology. In addition, they schedule all imaging services that are generated through the emergency department. Scheduling requires an understanding of optimal patient flow, imaging procedures and knowledge of laboratory testing and patient history requirements for imaging procedures. Schedulers are required to obtain physician orders and insurance verification and/or pre-authorization prior to the completion of imaging procedures. They register patients, collect payments, prepare medical records, assist with billing, fulfill medical records request, and print electronic imaging files.

  • Based on working knowledge of exams and patient preparation for same, schedule appointments for the following departments: CT, MRI, Ultrasound, and Radiology.

  • Coordinates Imaging Services exams with other hospital departments, physician offices and prepare daily schedule for distribution.

  • Coordinates interpreters for patients.

  • Follows up on patient orders and referrals to facilitate making the correct appointment.

  • Keeps abreast of changing exam protocols for each department.

  • Make appointment reminder calls, giving directions and instructions on patient prep, also obtaining appropriate lab information.

  • Acquire all necessary patient information for the procedure and distribute to Radiologist for protocols then to appropriate department prior to the exam.

  • Responsible for obtaining physician referrals, and authorizations, along with insurance verification.

  • Creates and maintains good working relationships with supervisors, lead technologists, clinic’s staff, physician offices and other departments in the center.

  • Registers and consents patients, ensuring the completion of required forms, if necessary, at clinic site. Collects insurance co-pays as required by clinic site.

  • Requests patient pertinent outside previous exams as needed and returns them to sender in a timely manner.

  • Working knowledge of PHS, STAR, MY SIS, and EPIC.

  • Supports office flow by distributing clinic mail and faxes to appropriate individuals and maintaining inventory of office and other supplies. Assures maintenance of office equipment.

  • Documents complete and accurate information on all appropriate chart forms. Files patient medical records into chart if required at clinic site.

  • Answers multiple practice phone lines and triages calls demonstrating, a) decision-making ability regarding appropriate routing of calls, b) ability to manage other multiple interruptions, and c) ability to maintain a helpful and responsive demeanor.

  • Uses paging/radio systems effectively: initiates pages for staff and notifies appropriate staff when page/call is returned.

  • Accurately communicates pertinent patient information assuring safe patient care outcomes to appropriate caregiver.

  • Provides excellent customer service by creating a safe and comfortable environment. Demonstrates caring behavior. Ensures effective and efficient work process. Provides clear and relevant information. Provides a prompt, reliable response.

  • Assists in problem solving around patient flow issues (e.g. wait time concerns).

  • Identifies special needs of patients (e.g. need for interpreter, too ill to wait at front desk, etc.) and communicates appropriately to imaging staff.

  • Answers the telephone by identifying the department and own name. Records and relay messages in a courteous and helpful manner. Checks voice mail for messages. Orients patients and families to the imaging center. Available to patients and families if there are questions or concerns.

  • Verifies patient insurance coverage utilizing computer applications and documenting same on prospectus. Obtains referrals and authorizations for services per insurance requirements.

  • Assist in resolving billing issues for patients and/or directs patients to the appropriate personnel. Abstracting: inputs diagnostic codes and physician data for each new account. Update account changes.

  • Organizes work to perform multiple functions concurrently, demonstrating ability to respond appropriately to multiple requests from staff, patients, physicians, etc.

  • Participates in other duties as requested by supervisors or charges, and remains flexible at all times.

  • Functions as an essential member of the Medical Imaging Team.

  • Accepts responsibility for all aspects of the position. Establishes and adjusts priorities based on patient acuity and changing clinical situations.

Required qualifications:

  • Associate's Degree Or equivalent from a two year college or technical school with emphasis in healthcare preferred, or six months to one year related experience and/or training in health care related field

Preferred qualifications:

  • Within 6 months (180 days) of hire Medical Terminology Certification or successful completion of a Medical Terminology course

  • 1 year experience in a healthcare setting (i.e. physician’s office, scheduler, etc.)

  • Experienced in obtaining insurance verifications, referrals and authorizations

  • Medical imaging experience
