This detail-oriented individual will play a crucial, hands-on role in making sure our projects operate smoothly, coordinating and providing administrative excellence from job start-up to closeout.Project AdministrationCoordinatingand completingproject reports and deliverables.Trackingchange orders.Preparingand distributingbid packages.Maintainingproject documentation and organizingnetwork per the Project Manager's request.Distributingdocuments to internal and external parties.Assistingwith / leads invoice substantiation processAssisting yourteam with maintenance and archiving of project records.Assistingwith the creation of State-specific documentation.Takingdirection to complete administrative tasks.Trackingthe risk review process and maintaining the necessary paperwork throughout a project.Organizing anetwork and hardcopy files.Assistingwith labor tracking and forecasting.CommunicationAttendingteam meetings and ensuringthe follow-up of resulting action items.Takingand publishing your team'smeeting minutes as requested.Communicatingwith Purchasing Team and outside vendors to order and expedite material.Coordinatingtravel arrangements and expense reports.Facilitatinginformational vendor reviews.Managingflow of information to project management systems and stakeholders.What we would like to see from you:High school diploma or equivalent or equivalent work experience required.Three (3) years of experience in administrative function or business environment preferred.Prior construction administration experience preferred.Intermediate knowledge of Microsoft Word, Excel, Outlook, and Project required; working knowledge of SharePoint preferred.The McKinstry group of companies are equal opportunity employers.
