This Opportunity

WSP is seeking a full time Project Coordinator to join our Property & Buildings team in Seattle, Washington . The P & B Project Coordinator is responsible for supporting the Project Leader and project teams with administrative duties throughout the project lifecycle. The ideal candidate will be proactive, organized, and detail-oriented, will possess strong communication skills, and will have the ability to work closely with a group of experienced design professionals in order to meet our clients’ objectives and solve complex problems.

The Project Coordinator will take a proactive role in assisting the Project Leader and project teams in moving projects forward, facilitating communication across the project team and with clients, promoting and facilitating integration on projects, and maintaining a consistently high standard of delivery.

Your Impact

  • Assist Project Managers and leaders with processing of contracts and sub-consultant contracts.

  • Work with Project Accounting team for project setup and budgeting.

  • Assist in generating project financial management reports.

  • Assist in tracking invoices and project payments.

  • Assist in tracking scope changes and preparing add service requests to the client.

  • In conjunction with the Business Development and Marketing team, assist in the preparation of any materials required for project pursuit.

  • Assist in scheduling design reviews, charrettes, and regular project meetings.

  • Maintaining project calendar including project schedules, and coordinate publishing of the schedule to the project team.

  • Attend project, department, and team meetings and take meeting notes. Distribute meeting notes internally and externally as required.

  • Create and maintain project document file storage within the WSP standard project directory structure.

  • Provide production support for project technical staff.

  • Edit and format specifications, Table of Contents, Basis of Design Reports and other written materials as required.

  • Assist Project Manager with tracking and assembly of deliverables, as well as checking deliverables for adherence to WSP standards.

  • Assist project teams in distributing project materials to clients and other industry partners.

  • Assist Engineers of Record in processing and filing of project status forms with Authorities Having Jurisdiction.

  • Assist the project team in receiving, filing, distributing, processing, tracking due dates and responding to RFI’s and shop drawing submittals.

  • Facilitate adherence to ISO 9001 compliance and WSP Project Delivery standards, including development and implementation of safety plans, scheduling and documentation of project QA/QC reviews, documentation of ISO review processes.

  • Exercise responsible and ethical decision-making regarding company funds, resources and conduct, and adhere to WSP’s Code of Conduct and related policies and procedures.

  • Perform additional responsibilities as required by business needs.

Who You Are

Required Qualifications

  • High School Diploma or GED Required.

  • 3+ years' experience working in an administrative or project coordinator role.

  • MS Office applications, including Word, Excel, Outlook, PowerPoint and others.

  • Excellent verbal/written communication and program-solving skills.

  • High level of attention to detail.

  • Self-motivated and flexible to take on new tasks and assist teams.

  • Strong willingness and eagerness to learn.

  • Ability to track, maintain, and meet multiple concurrent deadlines.

Preferred Qualifications

  • Basic AutoCAD and REVIT skills.

  • Familiarity with Bluebeam, including Studio Sessions and Projects.

  • Familiarity with Microsoft Project.

  • Working knowledge of cloud-based file-sharing platforms such as Sharepoint, Sharefile, Newforma, Dropbox, etc.

  • Familiarity with web-based Construction Administration tools such as Procore.

Compensation:

Expected Salary: $41,800 - $68,970

WSP USA is providing the compensation range that the company in good faith believes it might pay and/or offer for this position within the state of Colorado, based on the successful applicant’s education, experience, knowledge, skills, and abilities in addition to internal equity and specific geographic location.
