Job Description The Seattle office of Coffman Engineers is looking for a highly skilled individual to assist Project Mangers, General Managers, Accounting and Project Administrators with project-related administrative functions. Essential Duties and Responsibilities: Input projects into accounting system, opening initial ICE and Outlook folders, filing corresponding contracts, and linking them to FileMaker. Input budget maintenances, tracking job order/purchase order/task order budgets to master service agreements/term contracts etc. Assist Project Administrator by backchecking invoices and helping prepare invoices by organizing timesheets, attaching receipts to invoices, and providing special forms as requested by clients. Expense report audits (specifically checking that receipts and expenses are up to invoicing standards). File, track, review, and organize Master Service Agreements and Term Contracts, notifying and resolving problems as appropriate. Pull cost reports from accounting system to track labor, travel, materials, and other project expenses for PMs. Interface with stakeholders (PMs, clients, accounting) as directed. Perform other duties as assigned. Knowledge, Skills and Abilities: Able to multi-task and prioritize in a challenging environment (or demonstrate ability to develop such abilities). Experience with general accounting systems, MS 365 Office Suite, and MS Dynamics 365 CRM (a plus). Possess strong critical thinking, organizational, and analytical abilities (or demonstrate ability to develop such abilities). Maintain positive working relationships with internal and external customers. Excellent verbal, written and interpersonal communication skills. Proficiency in Microsoft Outlook, Word, and Excel a plus. Able to work independently as well as in teams. Strong organizational ability; meticulous; high degree of accuracy. Positive contributor to overall office and department goals, culture, and morale. Expected Hourly Rate $23.00 - $27.00. Qualifications High School diploma or equivalent. 0 to 3 years of experience in administration, project support, bookkeeping or other related areas. This position is not eligible for sponsorship.
