Oceanography has an outstanding opportunity for a Program Operations Specialist to join their team. RESPONSIBILITIES: Project Management 40%

• Timelines: create timelines for multiple Float Lab projects from strut to finish: set deadlines for program milestones. Assess the multiple projects' competing and sometimes simultaneous needs; prioritize and organize use of resources,especially space and equipment. Milestones: manage production schedules and ensure projects are completed on time. Address issues holding up schedules and devise ways to overcome by reallocating resources and juggling resources among projects. • Procurement: scope out purchases necessary software, equipment and supplies; obtain quotes and select vendors;coordinate the installation or receiving of equipment and supplies in .o rder for work to be performed according to the timeline. • Personnel: assess personnel needs for projects and required qualifications for positions. Initiate hires with Oceanography administrative staff according to project timelines and goals to ensure job requisitions and appointments align with project timelines. Ensure staffing levels are appropriate for production schedules. Manage staffing schedules. • Risk management: Assess risk. Identify and document regular training requirements and ensure training and refresher courses are complete and up to date. Manage lab safety and EH&S reporting. • Coordinate and track the timely production of annual reports, center reports, grant submission components, Just in Time (JIT) materials for principal investigators and collaborators, to ensure that each project is moving toward timely completion.

Data Management 35%

• Create and enforce policies for effective data management • Formulate management techniques for quality data collection to ensure adequacy, accuracy and legitimacy of data • Devise and implement efficient and secure procedures for data management and analysis with attention to all technical aspects • Support others in the daily use of data systems and ensure adherence to legal standards for the state, UW and sponsors • Assist with reports and data extraction when needed • Monitor and analyze information and data systems and evaluate their performance to discover ways of enhancing them (new technologies, upgrades etc.) • Ensure digital databases and archives are protected from security breaches and data losses • Troubleshoot data-related problems • Identify issues with the system and equipment and troubleshoot • Authorize maintenance or modifications

Grants Management 20%

• Assist the PI and grants manager in grant proposal preparation by collecting data and information; review budget for proposed project purchasing and staffing needs • Track sponsor reporting deadlines; document progress work with PI and GM to provide updates to sponsors, preparing presentation materials and correspondence. • Monitor expenditures for compliance • Maintain internal funding opportunity databases, reporting tracking system, and related confidential files • Manage a variety of project funds: fiscal planning and forecasting across and within projects, tracking budget expenditures, regular assessment of project and personnel needs and asset allocation.

Perform other related duties as assigned 5% MINIMUM REQUIREMENTS:

• BA in Oceanography, Business Administration, Project Management or similar fields plus 4-5 years experience. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS:

• Experience in managing multiple collaborative projects. • Experience and proven skill in coordinating resources across multiple projects and projecting future needs. • Experience with Windows, Linux, and Mac operating systems; Python or similar programming language; MS Office, Google Workspace, and general computer use. • Strong and clear communication skills in English, both oraland written required. • Excellent organizational, administrative and project management skills. • Strong initiative and good judgement. • Ability to work in a dynamic, collaborative research environment with multiple stakeholdersand tight deadlines.

DESIRED:

• Master’s degree in Oceanography, Business Administration or Project Management. • Familiarity with oceanographic sensing technologies and autonomous underwater floats. • Experience in research / grant administration and fiscal management. • Eagerness to learn and contribute to a high-performance research group. • Desire to contribute to the generation of critically important environmental observations with diverse scientific and societal applications. • Ability to flourish in a highly dynamic organization and work well within multidisciplinary teams.
