You ask questions, because the “why” is as important as the “how” Key Responsibilities: This position will independently manage a portfolio of sponsored projects for 15-25 principal investigators to ensure compliance with budget and fiscal policies, procedures, monitoring, and reporting in collaboration with the PI. The person in this role will regularly meet with PI to ensure accurate effort reporting and project spending, forecast needs and prepare sponsor reports. They will liaise between the PI and SoN and campus units and external collaborators to expertly facilitate administrative support. DUTIES AND RESPONSIBILITIES Post Award Financial Analysis and Support (65%):
Research, interpret, and implement funding agency fiscal guidelines and rules.
Perform variance analysis of budgets and expenditures and resolve discrepancies.
Initiate and monitor financial activity for subawards.
Provide monthly and quarterly reports (and as requested) that include spending analysis, forecast future needs, communicating status and progress of personnel, travel, equipment, research sub-awards, and other spending activities.
Communicate and coordinate with other units for payroll changes identified/approved by investigators.
Identify/request PAAs’, Journal Vouchers, or other Workday Finance transfers as needed.
Work with Department Administrators and SoN Payroll to ensure effort is allocated according to award during set up and stay abreast of costing allocations for PIs and supporting staff throughout the project.
Review and approve grant expenditures and purchases in Workday Finance while verifying funding and compliance as necessary.Post-Award Set up, Reporting, and Communication (25%):
Oversee sponsor reporting requirements including managing and timely submission of reports (RPPR, etc.).
Process Award Set-up Requests (ASR) and needed modifications (MOD) is SAGE Award Portal.
Prepare SAGE Budgets, when needed or requested for ASR’s and/or MOD’s.
Manage start-up activities, spending down, and close out activities. Ensure efficient transitions, completeness, compliance, and final reporting.
Facilitate timely adherence to sponsor deadlines such as progress report deadlines, and requesting advance budgets, extensions, supplements, or revisions as needed.
Manage subcontract communication, facilitating timely sub-award set up, invoicing, and monitoring. Identify and problem-solve processing delays.
Interface with the University Office of Sponsored Programs (OSP), Grants and Contracts Accounting (GCA), Human Subjects (HSD), funding agencies (NIH, HRSA, foundations, etc.) as well as academic offices.Administrative Duties (10%):
Manage electronic files, and other documentation, and use technology for efficiency and compliance.
Manage, conduct, and disseminate portfolio analyses to aid in investigator and leader decision-making.
Inform Research Administration Manager on status of research activities and issues on a regular basis.
Proactively identify and communicate HR-related actions related to close out of awards.
Research, lead and delegate special projects as needed.
Other duties as assigned. MINIMUM REQUIREMENTS
Bachelor's degree or equivalent experience.
2-3 years of relevant experience with grants and contracts. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
Experience in a role requiring proactive, problem-solving and a customer-service orientation.
Commitment to valuing diversity and contributing to an inclusive working and learning environment. DESIRED QUALIFICATIONS
2+ years of experience working with federally funded grants and contracts or involved on a research team.
Intermediate MS Excel skills: Data entry, building and applying formulas (sumif, average, countif, round), some familiarity with excel function behaviors, filters, pivot tables.
Intermediate skills using project management software (e.g., Smartsheet, Asana, Trello, MS Tasks).
Experience developing and monitoring complex budgets.
Experience with state and federal financial regulations. CONDITIONS OF EMPLOYMENT
Though rare, occasional work nights or weekends may be required.
