The Department of Environmental and Occupational Health Sciences in the University of Washington School of Public Health is seeking a full-time Program Coordinator (NE S SEIU 925 Non Supv) in Seattle, Washington to support a growing portfolio of applied, policy-relevant research, training, and evaluation projects about the health impacts of disasters, climate change and other public health emergencies, and policy and programmatic solutions to build resilience, housed within the Department’s Collaborative on Extreme Event Resilience and the interdisciplinary Center for Disaster Resilient Communities. The Program Coordinator will provide administrative and logistical support to a number of research, training, and programmatic activities.

The Program Coordinator will interact and coordinate with various internal and external partners, including faculty, staff, and students within and outside the School of Public Health, community partners, public health and emergency management practitioners, and academic collaborators located across the world. They will be responsible for coordinating and contributing to a variety of projects simultaneously. Strong organizational, project management, and problem-solving abilities, as well as meticulous attention to detail and the ability to work collaboratively, are critical to the success of this position.

In the coming years, disasters and extreme events resulting from climate change are expected to increase in frequency and magnitude. We require innovative, science-driven solutions to minimize the potential for devastating consequences to human health and wellbeing. By providing administrative and logistical support to a variety of research, training, and programmatic initiatives, this position will support the university’s efforts to advance the science and practice of resilience to both disasters and climate change.

DUTIES AND RESPONSIBILITIES

  • Attend meetings as program representing, and provide facilitation and logistical support for program-specific meetings, events, and conferences (both in-person and virtual), including contributing to the design of meeting agendas and activities; developing and distributing meeting agendas, minutes, and other key documents; coordinating event logistics (e.g., catering) and providing day-of-support (e.g., event set-up, managing Zoom breakout rooms, notetaking);, and supporting travel logistics and reimbursements. (15%)

  • Liaise with program partners and participants to communicate project goals and interpret and implement program and institutional guidelines. (15%)

  • Promote program with outside organizations through external communications, including website development and maintenance, social media monitoring, compilation of materials for newsletters, design and dissemination of outreach materials, and online platform monitoring and maintenance. (15%)

  • Implement monitoring and evaluation activities for projects/programs in relation to established project goals, including through online project management software (e.g., Monday.com) in coordination with faculty, professional research staff, and student workers. (15%)

  • Monitor budget status in line with program activities, including tracking program spending, coordinating with both professional research staff and departmental administrative staff. (10%)

  • Support internal team communication and development, including maintenance of team Slack and Monday.com platforms, tracking and ensuring completion of training requirements among team members, managing processes for onboarding and offboarding staff and student workers, and organizing semi-annual team/project-specific workshops and/or retreats. (10%)

  • Perform complex scheduling and calendaring functions to convene internal and external partners and guests across multiple time zones. Requires coordinating multiple calendars in Microsoft Outlook, Google, and other calendaring platforms, scheduling rooms, arranging logistics, and conveying details to speakers and attendees. (10%)

  • Use word processing, graphics, statistical, spreadsheet and/or data base software to support faculty, professional research staff, and student workers on an as-needed basis, including on research activities and to prepare reports and deliverables. (10%) MINIMUM REQUIREMENTS

  • High school graduation or equivalent AND two years of experience supporting public health, disaster and/or climate-related research or practice OR equivalent education/experience. DESIRED QUALIFICATIONS

  • Bachelor’s Degree.

  • Experience with Microsoft product suite, Monday.com, and/or Slack.

  • Experience providing customer service to students, faculty, staff and the public on research-related activities and engagements.

  • Experience working with administrative systems, including Workday.

  • Experience in event planning and management.

  • Experience supporting qualitative and/or quantitative research. DESIRED SKILLS
