Center for Career Development staff work holistically and build connections with students to provide customized advice, strategy, and support to students during law school, as they enter the work force, and in subsequent career transitions. The Program Coordinator (NE S SEIU 925 Non Supv) works directly with Career Development leadership, including the Assistant Dean, the Director of Professional Development, and the Director of the William H. Gates Public Service Law Program, as well as other Career Development staff, to advance and support its mission, evaluate, and provide critical analysis regarding the office’s programs and events, and ensure consistent and effective delivery of services.

The Center for Career Development is a busy, fast-paced, and dynamic environment, and the Program Coordinator must have strong organizational and problem-solving skills and be able to work well both independently and collaboratively. As the first point of contact with our office, excellent judgment and discretion is essential for this role, especially in the day-to-day contact with students, faculty, staff, members of the public, and employers. The Program Coordinator must anticipate issues as they arise, and independently troubleshoot administrative and programmatic concerns.

The Program Coordinator collaborates with others in Career Development to plan and implement a variety of programs and events. They must use their knowledge of institutional policies and procedures to make decisions and recommendations about how to allocate resources and to establish methods and practices to successfully implement Career Development programs and policies, such as the On-Campus Interview Program (OCI), Student Record Management, our Reciprocity Policy, and Pro-Card Purchasing. The Program Coordinator must take initiative and act independently in updating student resources and office databases regularly throughout the year and conducting independent research related to Career Development resources and programs as necessary to carry out their duties.

DUTIES AND RESPONSIBILITIES Program/Event Coordination and External Communications (40%)

  • Work with Career Development staff and leadership to plan and coordinate existing and new programs and events that support career and professional development.

  • Manage administrative aspects of planning and execution, including but not limited to maintaining all event calendar entries, promoting events to student groups, developing marketing flyers, selecting caterers and menus for events, and negotiating and finalizing orders with vendors for food events.

  • Serve as point person with the business office, central purchasing, and other units to fully execute Career Development programs and events.

  • Responsible for crafting and executing weekly newsletter and job alerts, as well as collecting information from external and internal sources related to topics such as employment opportunities, scholarships and fellowships, professional development-related events, networking opportunities, and more.

  • Coordinate all law school recruitment programs, including on-campus interviews, resume collection, resume books, career fairs, and receptions. Provide information to students and employers and regularly update both internal and public-facing resources as necessary. Coordination of on-campus interviews constitutes a substantial aspect of this role throughout the year, including reviewing and responding to both employer and student communications, processing registration and invoicing, working with coaches to execute events and programs, developing the interview schedule, and facilitating the interviews whether in person or through a remote platform, tracking OCI outcomes, and other related administrative tasks.

  • Support Career Development in planning and coordinating new student orientation(s), student and community receptions, and other special events.Employer Relations and Job Market Research (20%)

  • Interface with employers to further the goals of Career Development and the law school. Serve as point of contact for general and recruiting-related inquiries coming to department email and phone. Responsible for monitoring and acting on or properly routing emails coming into main email and other accounts for the Center for Career Development.

  • Communicate regularly with students, alumni, and employers about programs and recruitment.

  • Review and approve employer profiles and job postings following Career Development job posting guidelines and policies. Seek out and search available databases for employment opportunities relevant to UW Law students and alumni weekly.

  • Support Career Development efforts and strategies for employer relations and outreach.

  • Assist the Assistant Dean and other Career Development staff with tasks related to recruiting activities and engagement with the employer and alumni community.Student Support (15%)

  • Interface with students to further the goals of Career Development and the law school. Working at the front desk, act as point person in the office, receiving students and assisting with planning for student-initiated events both in person, telephonically, and through electronic communications.

  • Create reference guides, draft communications, and create other materials directed to students to help them navigate participation in Career Development events and programs and engage with the resources offered by our office.

  • Support student efforts to build community and work together.Data Management and Reporting (15%)

  • Manage and update the department's online databases and systems for students, alumni, and employers. Tasks involve adding new student registrations to Career Development resources, transitioning them through relevant student groups as they progress through law school, and conducting regular audits for accuracy. Additionally, maintain event and job board listings, update online tools like the Career Development Resource Center, and provide assistance to users, troubleshooting access or usage issues independently.

  • Work with student assistant, when applicable, in onboarding as well as regular delegation of tasks and coordination of work.

  • Coordinate with Academic Services and the Graduate Programs to obtain and track regular student status updates.

  • Coordinate measurement and tracking of program and department metrics. Develop and maintain tracking systems as needed.

  • Run database reports and prepare outcomes reports regularly.

  • Support the collection and reporting of graduate employment data for internal and external constituencies.Budget & Reconciliation (5%)

  • Complete training for and obtain ProCard purchasing card for the office. Place orders for supplies and other material needs in the office as needed; coordinate and effectuate purchase of and registration for travel, conference participation, networking opportunities, and other engagements that require payment by Career Development.

  • Work with the Assistant Dean to ensure all event and office purchases are within pre-approved budget limits.

  • Remain apprised of institutional fiscal policies, and ensure all fiscal operation compliance procedures are followed, such as the proper allocation of fiscal record keeping and reconciliation efforts, maintaining accurate and up-to-date financial records and conducting routine reconciliations. Training on UW fiscal policies and procedures is provided and necessary for the success of this position.

  • Process and track payment for all Career Development and OCI-related expenses and revenues.Miscellaneous Administrative Support (5%)

  • Provide general administrative support for Career Development, including the Assistant Dean and other Career Development staff, to meet the short-term and long-term needs of the office.

  • Perform related duties as required. MINIMUM REQUIREMENTS High school graduation or equivalent AND two years of experience in higher education and/or recruiting/recruitment coordination OR equivalent education/experience. DESIRED QUALIFICATIONS

  • Experience in complex event coordination, marketing, project management, and/or program management.

  • Familiarity with current legal job market, legal recruiting, or career services.

  • Familiarity with Symplicity, 12Twenty, Salesforce, or similar career databases or CRMs.

  • Ability to staff occasional events that occur outside normal business hours.

  • Advanced computer skills including working with MS Office, creating professional presentations using Powerpoint, and using Excel, Microsoft, and Google applications to track and organize data.

  • Experience and familiarity with data collection, organization, and analysis, as well as experience using database management programs.

  • Ability to work efficiently and professionally under the pressure of frequent deadlines in a fast-paced environment.

  • Demonstrated ability to work independently, problem solve, take initiative, set priorities, and handle multiple projects efficiently and effectively.

  • Demonstrated ability to work effectively and collaboratively with others, including small and large group projects.

  • Ability to track and manage multiple projects simultaneously, with a focus on detail-oriented task and time management and ability to prioritize in a high-pressure environment.
