Housing & Food Services (HFS) provides on-campus housing to over 10,000 student residents and operates over 40 dining and café locations that serve the entire campus community. POSITION PURPOSE Serve as a primary point of contact for students, staff and guests seeking in the Poplar Residential Life Office (RLO). Provide management support for the Residential Life student leader recruitment and selection processes, and the Residential Life Resident Director Recruitment processes. Provide information about residential life activities, educational and academic initiatives, and/or administrative offices. Work collaboratively with all HFS units in support of occupancy management initiatives of apartment communities.

DUTIES & RESPONSIBILITIES ADMINISTRATIVE AND CLERICAL SUPPORT (50%): • Performs specialized clerical duties in support of the Residential Life unit, including primary support for the Poplar RLO and the broader West Campus team • Provides direct support of the Student Leader recruitment, selection and training process, including communication, scheduling, outreach and follow-up • Provides direct support of the Resident Director recruitment and selection process, including communication, administrative management, scheduling outreach and follow-up • Develops forms and procedures essential to Residential Life processes, including managing annual inspections process • Manages outgoing student leader processes around identification cards and name tags • Collaborates with other HFS units in support of day to day West Campus operations • Provides information related to Residential Life program policies, procedures, and operations • Communicates Residential Life program information through various means; including, email, common area bulletin boards and digital screens • Receives and responds to requests for Residential Life records and materials • Organizes and maintains the production, distribution and storage of materials; develops and maintains office record keeping and filing systems • Utilizes SharePoint, Microsoft Office and the Content Management System in support of Residential Life projects • Assists with training, scheduling, and directing student employees • Schedules appointments and other meetings for residents and staff • Provides administrative support to, acts as a liaison for, and helps uphold office standards for Poplar Residential Life Office staff and teams • Assists residents with the meeting room reservation process

FINANCIAL PROCESSES (30%): • Maintains program budgets and informs supervisor of discrepancies; performs corrective action to eliminate discrepancies between budget related documentation • Compiles statistics and composes quarterly and annual budget reports • Interprets financial policies and procedures and provides a resource to staff in the management of program funds • Completes all purchasing for the Poplar Residential Life Office and West Area teams, utilizing the University Procurement Card process and Housing & Food Services Purchase Order system • Serves as a resource for staff with regard to purchasing regulations and monitoring for compliance

OTHER RESPOSIBILITIES (20%): • Serves as a member of and provides administrative support for several department- and unit-wide committees and workgroups

SUPERVISION PROVIDED The position works under general supervision and reports to the Assistant Director for West Campus. Supervision Exercised: The position may provide incidental direction to student employees throughout the year.

POSITION DIMENSIONS The position supports a complex program administered by seven professional staff. The program activities are distributed throughout the UW campus apartment community. Working knowledge of residential life and program administration are keys to successful performance.

Though hired into a specific working title or location, all employees of Housing & Food Services are expected to support overall operations by: participating in cross-training, providing coverage during staff absences or high business volume, participating in production and/or service of special events, and being willing and able to perform additional, related duties and/or be reassigned to another work unit.

WORKING CONDITIONS This position works a regular Monday through Friday schedule; however, it may require the occasional evening and weekend commitment for special events.

MINIMUM REQUIREMENTS: High school graduation or equivalent AND two years of work experience providing administrative support in a large university housing setting OR equivalent education/experience

DESIRED QUALIFICATIONS • Proficiency with SharePoint, creating pages, libraries, workflows and forms • Experience with budget preparation, maintenance and monitoring, and developing new software skills. • Experience that demonstrates: - One year of experience working in a residential life or residential housing program. - Attention to detail - Outstanding oral and written communication - Success interpreting and communicating complex policies, procedures and agreements - Proficiency with MS Office applications
