UW Continuum College has an outstanding opportunity for a Program Administrator within their Academic Programs team.

The Program Administrator (PA) (Continuing Education Coordinator (E S 6)) maintains, implements and delivers a diverse portfolio of complex courses and degree and certificate programs delivered in a variety of formats. The tasks involved in supporting these programs typically run on non-standard schedules. The PA makes key decisions and is responsible for the day-to-day operation of their programs.

The PA must be knowledgeable of a wide range of Continuum College and UW policies and procedures governing programs, instructors, and students. This position must work effectively across operational teams within Continuum College, with academic and other support units at the University, with instructors and with prospective and enrolled students. In addition, the PA is responsible for many key processes and complex tasks that are central to the success of these self-sustaining programs.

The PA productively engages and collaborates with leading professionals, campus partners, professional associations and UW Continuum College marketing to raise awareness and ensure we meet the needs of the adult learning community we are serving. DUTIES AND RESPONSIBILITIES INSTRUCTOR AND COURSE MANAGEMENT

  • Prepare instructors for their courses, providing information on system access, processes and procedures.

  • Familiarize instructors with course expectations and responsibilities.

  • Ensure course planning and execution result in positive student experiences.

  • Facilitate efficient room and equipment needs and assignments.PROGRAM LIAISON AND COMMUNICATION

  • Establish and maintain strong communication channels with all stakeholder groups, campus partners and internal support teams to proactively plan and resolve operational issues.

  • Contribute to and provide quality control for website content.

  • Process program applications based on standardized review procedures.FACILITATIVE PROGRAM LEADERSHIPSeek opportunities to update and improve the operational processes and procedures associated with programs and courses.

  • Meet with current and new staff in AP who have questions about process and procedures associated with the programs and courses in their portfolio; explain the way these programs and courses are supported, monitored and tracked in the student information system; and analyze and explain the impact of data fields in the student information system.

  • Participate in training new AP Operations team members; assist in training new program managers on program administrator role as well as the student information system.

  • Provide coverage for team members who are out of the office or for vacant positions.

  • Assign work to student workers as needed.YOUTH AND TEEN PROGRAM OPERATIONSCreate and purchase supplies in a timely manner with input from instructors for this Summer intensive program.

  • Assemble and ship kits for remote classes and deliver supply bins for in-person classes based on ordered supplies and existing inventory.

  • Manage the assembly and shipping process from beginning to end, following up with vendors and shipping companies.

  • Ensure classrooms are prepared as courses start and end, coordinating with rental companies when needed.

  • Provide technical support for instructors when issues arise.

  • Be flexible and quick to respond in unexpected situations.

  • Drive University vehicles to deliver items and commute to various locations in or around campus.

  • Other duties as assigned.COMMUNITY ENGAGEMENT AND PROGRAM PROMOTION

  • Perform market research, plan events, coordinate information sessions, tradeshow and marketing opportunities with public and private companies in the community.FISCAL ADMINISTRATION

  • May perform some budget preparation and program set up in the student information system in conjunction with Fiscal Services. MINIMUM REQUIREMENTS

  • Bachelor’s degree in Sciences, Humanities, Business Administration, or other related fields and at least two years of increasingly responsible administrative experience, preferably in continuing education program management.

  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • The candidate should have a strong working knowledge of the Microsoft Office Suite and intermediate proficiency in the use of Internet technologies and database systems.

  • Proficiency in setting up basic web sites, authoring course content and making public presentations.

  • Ability to enter, review, and analyze data using various UW systems.

  • Working knowledge of basic accounting and budgeting principles.

  • Skills and experience in writing, editing, and proofing.

  • Excellent oral and interpersonal communication skills.

  • The ability to work in a professional manner both as a self-starter and as a team member. CONDITIONS OF EMPLOYMENT

  • Valid Washington State Drivers License.
