    Program Description

    PREPARES is an initiative of the Catholic Bishops of Washington State and creates the capacity within every Catholic parish to assist pregnant women, fathers, and their families by walking with them on the journey from pregnancy to their child’s fifth birthday. Project Rachel is the official post-abortion healing ministry of the American Catholic Church.

    Position Description

    A successful PREPARES/Project Rachel Operations Manager will be an organized self-starter. The Operations Manager provides high level administrative and office support to both the PREPRES and Project Rachel programs and team members throughout Western Washington. The Operations Manager responds to program emails, donation and volunteer inquiries. Additionally, they are tasked with volunteer file management, administrative support on grants, institutional reporting and program communications. The successful applicant must be familiar with and comfortable working within the Catholic network of parishes and institutions, service oriented, possess a knowledge of community resources, and have strong communication and administrative skills.

Responsibilities

Communications and Reporting

  • Process requests for assistance and donor/volunteer interest.

  • Prepare monthly report and assist in compiling statewide PREPARES reports, annual Catholic Charities report, etc.

  • Write quarterly program newsletter sent to donors and volunteers across Western Washington.

  • Compose and publish weekly social media updates, at a minimum.

  • Share regular bulletin content and materials with parishes.

  • Update program materials and maintain program documents.

  • Maintain relationships with parish volunteer leaders, social workers and other referral sources at designated health care institutions and human services organizations.

    Volunteer Coordination and Management

  • Process/review volunteer applications, and manage and maintain volunteer database.

  • Assemble volunteer applications, training materials and other documents as needed.

  • Attend and provide technical support for trainings, retreats and other volunteer-related events.

    General Responsibilities

  • Provide logistical support for staff meetings, volunteer retreats, conferences, and other activities.

  • Submit timesheets and mileage reimbursement on schedule.

  • Attend trainings required of employees and staff and supervisory meetings as scheduled.

  • Contribute to the mission of Catholic Community Services.

  • Contribute to and support a positive, team-oriented work environment.

  • Perform other job-related duties as assigned

Qualifications

MINIMUM QUALIFICATIONS

  • Familiarity with and ability to work within the structure and culture of the Catholic Church.

  • Demonstrated ability to manage several diverse tasks at the same time and meet deadlines.

  • Good English composition and proofreading skills.

  • Excellent word processing skills and solid experience working with Windows, particularly Outlook. Excel and Word programs including drafting and formatting professional spreadsheets and documents. Ability to learn new computer skills as needed.

  • Ability to track a simple budget.

  • Ability to manage confidential information.

  • Ability and willingness to work a flexible schedule as needed.

  • Support and uphold the mission, beliefs and values of Catholic Community Services and Catholic Housing Services.

  • Demonstrates the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in multi-cultural situations.

  • Criminal history background checks are required prior to employment.

    PREFERRED QUALIFICATIONS

  • Bachelor's degree in Social Work or Theological Studies.

  • Bilingual English and Spanish.

  • Knowledge of services and resources for low-income people.
