Port of Seattle Payroll Time Administrator – Port Construction Services in Seattle, Washington

Some of what you'll be doing:

As a Payroll Time Administrator, you will be the payroll/personnel liaison for represented and non-represented employees in Port Construction Services (PCS). You will ensure data has been analyzed for accuracy, policies and procedures are adhered to and data interfaces are developed and managed in accordance with established guidelines.

  • You will ensure time entry is coded in adherence with Port policy and Collective Bargaining agreements, which may include overtime/double time, graveyard, swing shifts, Acting Field supervisor, provisions, and welding/sewer premiums.

  • You will manage leave time, including the documentation for Paid Family and Medical Leave Act (PFML) and Family and Medical Leave Act (FMLA), vacation, sick leave, and other types of time-off requests.

  • You will monitor, examine and communicate with HR regarding workers compensation claims.

  • You will review and verify accuracy of time entry transactions in Human Capital Management (HCM) and adjust or correct as needed. You will also create and submit reports to management to review and approve prior to deadline.

  • You will create ad hoc queries/reports on payroll data upon request of directors and managers.

  • You will update wage rates spreadsheets when HR sends notification of pay change for union employees.

  • You will be the corporate purchase card user for supplies, trainings, development, memberships etc.

  • You will assist as directed the administrative needs of PCS and provide coverage when other support staff are on leave.

Who you are:

  • Experienced – You have three (3) years of timekeeping administration experience in a medium to large organization using electronic timekeeping systems and one (1) year of experience interpreting Collective Bargaining Agreements as related to payroll.

  • Expertise – You can interpret Collective Bargaining Agreements and manage payroll processes, including payroll cycles, time accruals, leaves, earning codes, and overtime. You also have knowledge of Washington state record retention, labor laws and regulations. Additionally, you have expertise in the Microsoft Office Suite, i.e. Excel.

  • Collaborative & Independent – You can work as part of a team and partner with staff to achieve results. You are also capable of working independently with little guidance to complete tasks.

  • Technically Savvy –You have knowledge of timekeeping systems like Peoplesoft Financials and concur expense reporting.

  • Analytical & Confidential – You possess exceptional skills in research, analysis, problem-solving, decision-making, and mathematical reasoning. Additionally, you prioritize confidentiality and data security, ensuring the protection of sensitive employee information.

What else you need to know:

  • Work Schedule – Your normal work schedule will be Monday – Friday, 6:00 a.m. to 2:30 p.m. (40 hours per week). Slightly more flexible start and end times are available in this role to support business operations. You may be required to work any and all assigned shifts, including weekends and holidays. You may be required to work during emergencies.

  • Work Environment – You will primarily work in an office environment.

  • Washington State Residency Requirement – Employees must establish a residence in Washington state within 30 days of their first day of employment and must maintain a residence in Washington State during their employment with the Port of Seattle. If a position is eligible to telework, work performed while teleworking must be performed in Washington State.

  • Washington State Driver’s License - A valid Washington State Driver’s License, or the ability to obtain one, is required in order to travel locally to work sites.

  • Overtime Eligible – You are eligible for overtime pay in this role.

  • Security Requirements – As the successful candidate, you must pass a Transportation Security Administration (TSA) background check as well as a criminal history background check with the Federal Bureau of Investigation (FBI). Your employment will be contingent upon obtaining a Port of Seattle Airport ID badge upon clearance.
