Opportunity to provide career growth DEPARTMENT DESCRIPTION At Otolaryngology Clinic at UW Medical Center our physicians, allergy technician, and clinical audiology staff treat all disorders of the ear, nose and throat (ENT). The Otolaryngology Clinic is a specialty clinic that combines experts from a variety of fields for a comprehensive approach to healthcare. We offer advanced medical and surgical treatment for a wide range of ear, nose and throat, as well as head and neck, sleep and allergy conditions for both adults and children. PRIMARY RESPONSIBLITIES
EPIC Appointment Scheduling
Corresponds with patients to provide necessary program instructions
Calls referring providers to initiate authorization when needed
Referral Coordination
Coordinates the receipt of program document requirements such as patient forms, medical records, and financial consents to assure patient files are accurate and complete prior to the initial visit
Processes new internal and outside incoming referrals
Ensures that all referrals are properly linked to appointments
Maintains referral work queue for the Head & Neck Department and ensures timely communication with patients based on the UWMC guidelines and clinic standards
Medical Record Activities
Orders, coordinates, and distributes medical records as needed
Prepares medical record according to unit-specific procedures for patient visit
Requests prior radiology imaging and ensures it is uploaded to the chart for the physician to review at the patient’s appointment
Keeps track of all medical records requests in accordance with the department's policies and guidelines
Insurance Activities
Refers uninsured patients for financial assistance/Medicaid eligibility screening
Coordinates and explains options to patients related to potential financialresponsibilities including financial assistance, possible Medicaid eligibility, financial implications of proceeding with or without authorizations, and in and out-of-network ramifications
General Duties
Facilitates on-going assessment, maintenance and development of routines, standards and goals related to patient intake, and referral coordination for the program
Helps to consistently assess processes and communicate observations, concerns, and ideas to clinic administrative team in a timely and professional manner to maintain high standards of patient care related to designated accountabilities as noted above
Serves as an expert and trainer, as appropriate, related to functions unique to the Head & Neck Team
Responds to patients’ needs and concerns as appropriate. Investigates complaints and works with manager to find solutionsModels' excellent customer service skills REQUIRED QUALIFICATIONS:
High school graduation or equivalent AND two years of experience in the program specialty
Three years of Patient Support Service experience OR
