The University of Washington’s Information School ( iSchool ) is seeking a Temporary (12-month), Part-Time (50% FTE) Museology Program Coordinator to provide administrative support to the Master of Arts in the Museology graduate program. This position provides both instructional and general support to Museology’s faculty and staff to ensure smooth operations.

The Museology staff is a small but supportive team responsible for the administration of the Master of Arts in Museology. One of five-degree programs within the iSchool, Museology has 3 core faculty, 12 guest faculty, 3 staff, and 60 students. Museology staff collaborate and interact with other iSchool teams including Careers, Academic Services, Admissions, Teaching and Learning, HR, and Finance.

What You’ll Be Doing: Instructional Support:

• Support instructors with course related needs such as ordering supplies, ordering textbooks, course reserves, creating name tents, copying handouts, etc. • Support guest speakers with processing honoraria, parking passes, directions, special set-up, etc. Track and monitor guest speaker honoraria payments. • Serve as a liaison with organizations that provide guest speakers or field trips. Coordinate contracts and ensure invoices are paid. • Provide Canvas LMS support including uploading materials. • Manage time schedule and communicate course schedule changes to UWCC, the graduate advisor, and any other relevant parties.

Fiscal Responsibilities:

• Manage Museology equipment, including conducting regular inventory, managing student loan program and making recommendations for surplus and new purchases. • Coordinate travel arrangements and process travel and other reimbursements. • Coordinate, track and process student conference scholarships; process student research scholarship and software scholarship reimbursements. • Order, receive and maintain supplies and inventory. • Manage departmental pro-card including producing monthly ProCard reports. • Assist in the preparation, compilation, and coordination of reports and records such as financial, purchasing, inventory, and scheduling. • Track faculty and staff professional development budgets. • Create monthly budget reports for non-salary expenditures.

General Program Duties:

• Coordinate program events, including scheduling and support logistics. • Coordinate logistics for program meetings and courses including room reservations, time schedule maintenance, calendar maintenance, catering, food forms, supplies, etc. • Serve as a key contact for Museology current students, instructors, and staff for information regarding program budgets and university financial procedures. • Establish and maintain records and files, record statistical information. • Compose correspondence and printed materials related to program procedures, and operations; edit materials for accuracy, appearance, readability, and style. • Perform complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheet and database files, uploading and downloading and creating footnotes and outlines; maintain/coordinate mailing lists including updating information on UW Advance system. • Assist with organizing and uploading thesis projects and papers to Museums Forward website. Assist with creating manual of instructions for staff. • Coordinate forms using DocuSign and SharePoint. • Maintain files and perform duties related to records retention. • Manage and maintain inventory of office supplies. • Attend Program Committee meetings. • Perform related duties as required.

Minimum Qualifications

• High school graduation or equivalent AND two years of experience in higher education student services OR equivalent education/experience.

Additional Requirements

• Fluent in MS Office: Word, Excel, Outlook (or other equivalent email product). • Excellent communication skills, both written and oral. • Demonstrated success in working with diverse populations. • Demonstrated ability to organize and prioritize multiple tasks. • Must be detail oriented and work effectively under the pressure of deadlines. • Demonstrated ability to work independently and as part of a team.

Desirable Qualifications

• Experience with University of Washington administrative systems (Workday, Ariba, Advance, MyGrad, Canvas, DocuSign) or equivalent. • One year or more of experience in an institution of higher education. • Prior experience using databases and SharePoint. • Knowledge of University of Washington policies and procedures. • Proficiency with collaboration tools. • Experience with budgeting and finance. • Experience with event coordination.
