Undergraduate Academic Affairs has an outstanding opportunity for an Instructional Evaluation And Scanning Services Support Coordinator (Program Coordinator NE S SEIU 925 Non Supv).

The Office of Educational Assessment (OEA) is dedicated to the improvement of educational practice through assessment of teaching and learning, and through evaluation and support of educational programs and services. In support of this commitment, OEA has developed several systems to support instruction at UW, including: a) ScorePak, a paper-based course examination scoring and statistical reporting service. ScorePak relies on data capture (optical marking scanning) of course grade sheets, which leads to data analysis and reporting for classroom test scoring; and b) IASystem, an online course evaluation application serving the three UW campuses and other post-secondary institutions across the United States. IASystem is a service to all of UW main Seattle campus as well as UW Tacoma, UW Bothell and Educational Outreach faculty. IASystem data are gathered utilizing scannable questionnaires or online surveys, and the results are statistically generated, providing instructors with information for improving their teaching and curricula. Reports generated from ScorePak are utilized primarily by faculty/instructors, while IASystem reports are utilized by instructors for improvement and administrators (deans, directors, and chairs) as input for performance reviews and tenure, and by students to select courses. The Instructional Evaluation and Scanning Services Support Coordinator is responsible for coordination and day-to-day operation of the ScorePak scanning and scoring services for UW Seattle instructors, as well as for coordination of IASystem course evaluation services for UW Seattle. Advanced knowledge of the unique and proprietary computer, software, and scanning systems supporting both ScorePak and IASystem function are required of the incumbent who serves in this position.

Reporting to Assistant Director, the Instructional Evaluation and Scanning Services Support Coordinator has the following duties:

Responsibilities [45%] Coordinate ScorePak Operations
• Engage in Optical mark data capture (scanning) and ScorePak database usage (scoring) • Use commercial software, create and update optical mark resolution programs • Engage in data analysis and reporting • Provide high level of customer service when receiving job requests and explaining results to clients • Consult with clients (via phone, e-mail and/or in-person) regarding services • Carry out basic and complex classroom test scoring using custom database application; explain algebraic functions and statistical methodology to faculty and teaching assistants • Manage some business functions of ScorePak, including transmitting data and analysis files to clients; entering charges for test scoring and data capture • Ensure confidentiality and integrity of data • Archiving emails, scanner resolutions, scoring results and scanned data • Assist assistant director to train and direct work study students in customer service, data capture, scoring, data analysis and reporting

[45%] Coordinate UW Seattle Course Evaluations
• Under supervision of assistant director, provide support for University of Washington Seattle online and paper evaluations • Act as first point of contact for staff, faculty, deans, chairs and students for all UW IASystem functionality • Provide training for all UW evaluation coordinators • Document and communicate IASystem program policies and procedures to UW staff, faculty, deans, chairs, students and public. • Manage and operate optical scanners to capture data for scanning UW Seattle paper evaluations. Ensure accuracy of scanned data by reviewing results, consulting and communicating with clients as necessary. • Assist assistant director to train and direct work study students to support processing of paper evaluations.

[5%] Collaborate in development and maintenance of IASystem and ScorePak services
• Maintain, compile and distribute within OEA information relative to program activities including web site analytics, spreadsheets and database software, and other reports as needed and requested • Assist assistant director in creating, updating, and maintaining IASystem and ScorePak standards, procedures, and policies. • In conjunction with assistant director, manage inventory of scannable forms per year for both program services; IASystem and ScorePak. • Document client problems, identify potential system modifications, and communicate effectively to OEA team. • Attend weekly IASystem stand up meetings to review work flow, issues, priorities and client support. • Attend quarterly IASystem and OEA review meetings to help set priorities for program development and updates. • As requested, assist assistant director with other IASystem institutions. • Serve as IASystem and ScorePak point-of-contact in absence of assistant director.

[5%] First Point of Contact for the Office of Educational Assessment
• Serve as the first point of contact for any/all visitors to the office suite • Direct visitors to the appropriate individual for their inquiry

Qualifications Minimum/Required
• Education: High school graduation or equivalent AND two years of experience with program coordination • Experience with MS Word and Excel. • Demonstrated excellent client support, communication, presentation, and writing skills. Superior attention to detail. • Equivalent combination of education and experience.

Desired
• Education: BA/BS degree • Experience with MS Access and Outlook. • Two to three years of experience in supporting high-volume post-secondary course evaluation and scanning services.

Other Conditions of Employment
The ability to lift and carry boxes up to 30 lbs.
