The Department of Obstetrics & Gynecology has an opportunity for a Temporary , Full- Time HR Coordinator to join our team! The HR Coordinator performs specialized technical and clerical tasks in support of both the Academic HR and Staff HR functions within the Department of Obstetrics & Gynecology. This position provides information to faculty, staff, and students, explaining policies, rules, and regulations that are applicable to HR functions within the department. The role includes duties such as job description creation, scheduling interviews, onboarding support of new hires and students, processing HR reports, and maintaining records. This role requires a high level of confidentiality, attention to detail, and the ability to interpret and apply university and departmental HR guidelines.

Distinguishing Characteristics Under general direction of the Associate Director and the Academic HR Administrator, the HR Coordinator will perform technical and clerical human resource tasks, including explaining and applying HR and organization specific rules, policies, and regulations. The role will support the department’s HR operations, including employment, payroll, classification, human resource information systems, and training.

RESPONSIBILITES: HR Technical and Clerical Support

• Interpret, explain, and apply established university and departmental HR guidelines, rules, policies, and procedures for classified, exempt, and academic staff. • Receive, review, ensure accuracy, and maintain human resource data and records, including leave and salary records, employee data forms, and payroll documentation. • Prepare and summarize HR related reports using computerized systems, verifying accuracy, and ensuring proper documentation of adjustments.

Employment and Recruitment Activities

• Assist with writing and updating job descriptions. • Prepare and place job advertisements, schedule interviews, and participate in outreach efforts. • Assist with recruitment and onboarding processes for UW OBGYN 499 independent study students, volunteers, and paid student employees, working closely with Principal Investigators (PIs). • Prepare HR related correspondence and spreadsheets, ensuring compliance with departmental policies and procedures. • Assist with new faculty appointment packages.

Data Management and Reporting

• Organize and maintain human resource data in SharePoint or Department’s internal databases or drives • Ensure accuracy of records, manage confidential personnel files. • Assist with appointment processes, including tracking employee progress and processing position reviews and salary adjustments on behalf of the Associate Director. • Manage faculty annual review process.

Administrative and General Support

• Sort and distribute mail for the HR department and other staff as needed. • In collaboration with the Communications team, ensure the Ob/Gyn faculty, administrative and research staff websites are up to date and accurate. • Manage office supply inventory, place purchasing orders for staff new hires, and maintain department equipment. Process surplus for pickup. • Schedule and coordinate HR related meetings, including student, staff and volunteer onboarding activities. • Assist with preparing correspondence, spreadsheets, and reports as needed. • Update and maintain faculty handbook. • Additional tasks/projects as needed by the AHR Administrator and Associate Director.

Collaboration & Communication

• Work closely with Department leadership members and HR team to support HR projects and initiatives. • Serve as a point of contact for HR related inquiries and ensure compliance with university and department policies. May direct the work of student assistants or other clerical staff.

MINIMUM QUALIFICATIONS:

• High School diploma or GED certificate and two years of office/clerical experience including at least six months of experience in human resources or related setting OR equivalent education/experience.

Additional Qualifications:

• Proficient in Microsoft Office Suite (Word, Excel, Outlook, SharePoint, PowerPoint) • Experience working in an academic or healthcare environment. • Strong organizational and time management skills with the ability to manage multiple tasks and meet deadlines.

DESIRABLE QUALIFICATIONS:

• Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field. • Additional Requirements: Proficient with Workday • Excellent written and verbal communication skills.

Work Conditions and Environment This role is primarily office based at the University of Washington Health Sciences Building in Seattle with occasional opportunities for remote work based on departmental needs. The HR Coordinator may be required to travel between different UW based office locations to assist with interviews, onboarding tasks, and other HR responsibilities. Walking of up to 2 miles for onboarding and new hire days (typically 2-3 times a month). Lifting up to 5 pounds 1x month.
