POSITION PURPOSE The Department of Chemical Engineering (ChemE) has more than 26 faculty, 10 postdocs, and 15 staff. ChemE has a long tradition of openness and innovation. The UW’s ChemE department has an outstanding opportunity for a GRANTS MANAGER to provide administration and day-to-day management of the program activities for faculty active in the department conducting research in the field of Bioenergy and Molecular Engineering. ChemE conducts cutting-edge research in a wide range of areas, including Bio-based Systems, Data Science, Energy Systems and Devices. Oversee all phases of the grant and contract process including pre-proposals, proposals, and post-award management. The Grant Manager will work as part of a five-person team to ensure that all ChemE awards are in compliance with policies and best practices.

DUTIES AND RESPONSIBILITIES Post-Award Administration (75% FTE)

  • Provide technical and administrative support for faculty, staff, and graduate/undergraduate students.

  • Independently interpret and implement state and federal administrative policies and procedures.

  • Position is expected to act as a liaison with sponsors, subcontractors and other UW units.

  • Manage and administer multiple, complex budgets including state, federal, university/industry cooperative, industry contracts and subcontracts.

  • Interface directly with UW units, funding agencies and subcontractors to handle invoices, supplements, extensions, fiscal reports and compliance.

  • Meet with the principal investigators (PIs) to present the financial status of research program and possible problem areas.

  • Reconcile expenditures and develop comprehensive monthly budget reports.

  • Analyze and develop cost saving strategies, provide recommendations, and implement necessary changes, following sponsor guidelines and requirements.

  • Initiate, approve, process and monitor expenditures.

  • Develop long-range forecasts and spending plans.

  • Advise PIs on payroll compliance and budgetary requirements for employees supported by their grants and contracts.

  • Coordinate with payroll managers and advising staff in ChemE and in other departments.

  • Develop systems to track Employee Compensation Compliance (ECC) reports, and manage and oversee cost-share and compliance. Pre-Award Administration (20% FTE)

  • Support ChemE in the successful submission of proposals and receipts of awards.

  • Develop basic and complex budgets and prepare other administrative sections of proposals.

  • Provide advice and interpretation of funding agencies regulations as well as UW policies and procedures to PIs and other project personnel.

  • Ensure compliance with federal, state and UW policies, procedures, and regulations.

  • Serve as liaison with COE administration, faculty, university-wide departments and program centers, outside scientific researchers and collaborators, subcontractors, and agency sponsors.

  • Coordinate and monitor administrative approval processes through the COE, other UW units, and the UW Office of Sponsored Programs.

  • Review award documents such as contract agreements, advising investigators and/or the Office of Sponsored Programs of potential areas of concern.

  • As needed, communicate with sponsor and other interested parties to facilitate an agreement of terms and conditions.

  • Oversee and complete the transfer of grants from other institutions to and from the UW, as necessary. Professional Growth (5% FTE)

  • Professional development is very important to the culture of the department, and it is essential that employees demonstrate accountability for their own professional growth and competency by seeking opportunities and activities that improve skills to support the department.

  • The Grant Manager will stay current on emerging information and technologies by attending workshops/trainings and developing relationships with peers.

  • It is expected that new ideas and best practices will be incorporated into solutions and plans so the entire department can benefit. MINIMUM REQUIREMENTS

  • BA in Business Administration or related field.

  • Two years of experience working in a fast-paced research-oriented environment. Equivalent education/experience will substitute for all minimum qualifications. ADDITIONAL REQUIREMENTS

  • Excellent oral and written communication skills.

  • Strong organizational skills and attention to detail.

  • Ability to prioritize and handle multiple tasks on a frequent basis.

  • Demonstrate ability to effectively interact with faculty, staff and students, and industry representatives.

  • Ability to interact with people from diverse backgrounds.

  • Working knowledge of Microsoft Office, including Word and Excel, and Adobe Acrobat. DESIRED QUALIFICATIONS

  • Working knowledge of UW systems, including SAGE, Workday, and Award portal.

  • Familiarity with UW policies and procedures, particularly grants and contracts.

  • Familiarity in a research, technical and/or grant funded environment. CONDITIONS OF EMPLOYMENT

  • This position may require working more than 40 hours per week on occasion. Must be able to work a flexible schedule and coordinate leave requests with our other Grant Manager.

  • The position is hybrid with one day in the office per week and most work to be performed remotely.
