The Foundations of Clinical Medicine (FCM) Program Operations Specialist (FCM Specialist) reports to the Spokane Foundations Director and oversees the planning and implementation of the FCM Course and College Mentoring Program for the School of Medicine (SoM) WWAMI (Washington, Wyoming, Alaska, Montana and Idaho) Medical Education Office. Located in Spokane, WA., this position works directly with University of Washington (UW) SoM Assistant Dean for Spokane Foundations Phase, the Co-Directors of the FCM course, PCP Director, two College heads, and eight additional college faculty. The FCM Specialist is responsible for the operational management of major activities related to the clinical and classroom components of FCM in the SoM. These activities include: Acting as program liaison with hospital administration, managing and recruiting subcontractors (patient interview coordinators and standardized patients), providing curriculum and faculty development materials, and supporting and attending College faculty sessions. These College-related activities will be closely coordinated with the work of multiple departments within Academic Affairs including Curriculum, Student Affairs, Compliance and Regional Affairs. The FCM Specialist will also be responsible for assisting faculty and staff as necessary to effectively implement and execute course and program activities.
This position is located in Spokane, Washington and requires the ability to work at the Spokane Office.
The decentralized structure of the WWAMI program presents specific administrative complexities for the medical education office in Spokane. Most administrative, academic and student service programs are administered in Seattle with some level of administration and facilitation for the specific programs occurring in the Spokane regional office. This requires the position to have knowledge of the University of Washington curriculum, especially foundations phase, systems, and procedures, and be able to multitask and prioritize between the functional areas and have the ability to work and coordinate with people over geographic distances.

To ensure that the FCM course and the College mentoring program run efficiently and effectively
To facilitate communication across the WWAMI sites related to the FCM course and the College program
To act as College and FCM course representative for WWAMI Spokane when working with community hospital partners; primary contact for credentialing (student/faculty), operational issues (space, parking, staff), compliance (ensuring staff, faculty and students act compliantly when dealing with protected health information), addressing patient, student, faculty, staff and hospital administration concerns and needs.
To assist College faculty in curriculum development and research related to clinical skills and professionalism DUTIES AND RESPONSIBILITIES Manage Foundations of Clinical Medicine Course (70%)
Direct and oversee all operational planning and logistical elements of the Foundations of Clinical Medicine course including Immersions, Primary Care Practicum, Clinical Skills workshops, OSCEs (Observed Structured Clinical Examinations) and Hospital tutorials. These elements include communications, resource management, faculty hiring and onboarding, and staff recruitment/assignments/responsibilities
Serve as a liaison and point of contact for the Spokane WWAMI medical education office and the clinical sites where Foundations of Clinical Medicine experiences take place
Manage the coordination of FCM course and program schedules (student interviews/special tutorial sessions), course materials (syllabi/websites/supplies) and coordination of shared classroom space usage with other courses
Collaborate with course and program faculty to develop and maintain the quality of new and existing FCM educational activities for students and faculty
Supervise one classified staff position, which includes management of tasks, delegating, assigning and assessing work.
Manage the standardized patient program, the patient interview coordinators and paid student classroom helpers.
Assist in the review of course and program evaluations to ensure activities are meeting objectives, goals and design improvement implementation plans as needed.
Act as primary FCM contact for student and faculty questions and concerns
Attend all FCM meetings
Work collaboratively with faculty and staff regarding the FCM courses Provide Faculty and Student Support (20%)
Support student life, connecting students to wraparound services
Support planning and execution of student related events
Proctor exams in Spokane and online
Assist with campus events as needed
Other duties as assigned Coordinate Preceptorships (10%)
Work with the PCP Director to coordinate matching of students with community preceptors
Assist preceptors in obtaining UWSoM clinical faculty status Supervisory Responsibilities
Supervise Classified staff position (1 FTE)
Mentor employee in areas of growth and professional opportunities and provide career guidance and resources to educational opportunities
Develop work schedule and approve timecard in leave and time reporting system.
Ensure compliance with mandatory UW training or policy and procedure/annual training requirements
Assign and oversee work given to staff for completeness and accuracy
Delegate special projects and assignments as needed
Manage standardized patient program to include: recruitment, training, and payment
Manage Patient interview coordinators to include: onboarding, schedule, and payment
Manage and direct paid student classroom helpers
Provide assessment of team members and programming MINIMUM REQUIREMENTS
Bachelor’s degree in education, health or related field and at least two years of previous experience
Must be able to work independently and be proactive with a high degree of reliability, accuracy and productivity
Expertise with oral and written communication tasks
Excellent organization detail and prioritizing skills with the ability to multitask and work under the pressure of constant deadlines
Ability to contribute constructively to the University's mission

Three or more years of relevant experience
Experience in program operations in higher education
Mastery of Microsoft Excel OTHER CONDITIONS OF EMPLOYMENT
Coordinating the FCM course and the various activities involves meetings that may be held outside of routine business hours (for example, early arrival for class, or staying late for an evening event) and may involve travel. Therefore, the position will require flexibility beyond the normal workweek and possible occasional travel.
Ability to lift 25 pounds.
