The Department of Pediatrics has an outstanding opportunity for a Faculty Affairs Specialist . This position contributes to the growth and success of the Pediatric department by executing the mission and vision as a key member of the Central Administration Team. They will serve as a faculty affairs content expert and as such assures that the tasks in academic human resources are completed in a timely and accurate manner. Primary responsibilities include oversight and strategic planning of faculty appointments, reappointments, compliance requirements, annual reviews, promotions, as well as faculty onboarding and separation processes. They will work in creative partnership with Pediatrics’ division heads, division administrators, department leadership, and faculty committees. They will also work closely with external administrative partners at Children’s University Medical Group (CUMG), Seattle Childrens Hospital (SCH) and Seattle Childrens Research Institute (SCRI).

DUTIES AND RESPONSIBILITIES Faculty Appointments & Reappointments: Manage faculty appointments from initial offer to final hire for new faculty at multiple sites of practice. This will also include the coordination of faculty reappointments within assigned divisions in Pediatrics. Provide detailed, concise communication with division staff and faculty, including policy interpretation, and ensure accurate and timely completion of required materials for every appointment package. Interact directly with the Department Chair and leadership on issues related to appointments and re-certifications.

Promotion Process: Advise Division Heads, Administrators, Department Promotions Committee and faculty on promotion process and timelines including methods of data collection/submission. Maintains compliance with Faculty Code requirements and applicable timelines. Act as the primary point of contact for the department with the School of Medicine Academic Appointments and Compensation (AAC) team. Develop and implement tracking systems for faculty promotion processes and coordinate updates to the Department Promotions website and related tools. Ensure compliance with university deadlines by development and oversight of faculty voting processes.

Medical Staff & Practice Plan Appointment Coordination: Coordinate the medical staff and practice plan appointment processes to ensure that appointees can provide clinical services in conjunction with their approved faculty appointment. In management of the practice plan appointment process, this position maintains a high level of knowledge and understanding of both the UW Physicians (UWP) and Children’s University Medical Group (CUMG).

Faculty Review Process: Partner with Department Chair’s Office, Division Heads and Administrators on Faculty Review processes to ensure compliance with Faculty Code requirements and university deadlines. Assist divisions in the development of clinical peer/teaching evaluation data and programs. Develop tracking systems to ensure annual reviews are performed for the faculty each year according to activity and leadership schedules. Compose justification letters for Division Head’s signature for all faculty personnel actions.

Program Management: This position has the authority to respond to inquiries and make decisions based on the knowledge of the Department Chair’s expectations and the department mission. Discretion and judgment are necessary in prioritizing issues requiring Department Chair’s attention. The position must build, manage, and enhance complex working relationships with internal and external entities and have strong interpersonal communication skills to document policies, provide advice and work with faculty/administrative team members.

Process Improvement: This position will monitor the needs of the Department’s Academic HR program and will initiate/refine new and existing systems as the program evolves.

The successful candidate must be capable of viewing faculty appointment and human resource issues from a high level with broad understanding to ensure all entities involved in payroll, facilities and administration are properly considered. The ideal candidate is experienced in working with faculty and coordinating complex activities across multiple organizations.

MINIMUM REQUIREMENTS

  • Bachelor's degree in Business Administration, Human Resources Management, Health Administration, Public Administration or related field.

  • 3-4 years of HR management or program oversight experience.

  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Ability to prioritize concurrent projects under pressure of deadlines with consistent accuracy and attention to detail.

  • Excellent written and verbal communication skills, ability to multi-task and exercise high degree of judgment in handling sensitive and confidential information.

  • Demonstrated commitment to customer service.

  • Ability to handle confidential information responsibly. DESIRED QUALIFICATIONS

  • Prior experience working in academic medicine or higher education.
