The Enterprise Commercial Manufacturing Team is looking for a high-performing, action oriented and organized Executive Business Administrator. The ideal candidate will be able to maintain a calm, professional, and focused demeanor, accommodate different work styles with ease, demonstrate sound and consistent judgment in sometimes ambiguous situations and make timely decisions in complex situations. This role will support multiple managers.

Manage and maintain complex calendar(s) on a daily, monthly, quarterly, and annual basis to ensure accurate scheduling and organization
Manage and coordinate domestic business travel
Partner with Lead Executive Administrator to contribute to process improvements, messaging alignment and overall orchestration for the Rhythm of the Business
Reconcile, process and interim approve expense reports in a compliant and timely manner
Be a subject matter expert on internal policies and procedures
Coordinate team meetings, events and offsites, including agenda management, meeting logistics, and material preparation
Manage and maintain team aliases, to support efficient and appropriate internal communication
Manage headcount (end to end process) and information including maintaining and publishing organizational chart, processing personnel status changes and employee requisitions leveraging relevant headcount management tools, such as MSS (Microsoft Sales Specialist). Partner with Business Manger
Internal and external procurement of goods and services including hardware, supplies, etc.
Ad hoc projects and other daily admin tasks as needed
5+ years of executive level administrative experience
1+ years of project management experience
Proficiency in Outlook, Word, Excel, OneNote and PowerPoint
Experience supporting remote teams
Excellent organizational, analytical, and anticipatory skills.Ability to make independent decisions and to juggle multiple projects at once with compressed lead time, in addition to dealing with ambiguity
Ability to manage multiple projects and excellent analytical and problem-solving skills
Ability to maintain the confidentiality of highly sensitive material with tact and professionalism
Effective verbal and written communicator with a diverse group of key stakeholders
Positive can-do attitude, eager and able to work effectively under pressure with time constraints and in ambiguous and complex situations, as well as the ability to adjust direction in response to changing work situations, while maintaining a calm demeanor.
Able to work successfully in a team environment, build effective working relationships inside and outside group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups.
Knowledge of corporate organization and ability to navigate it and knowledge of departmental business practices
Knowledge of internal Microsoft tools such as iCIMS, Employee Central, MS Expense, Travel, MyOrder, etc or equivalent software
Location/Travel: Depending on working hours, work from home arrangements are available. Flexibility to accommodate US time zone is often required to attend critical meetings. Routine travel and international travel in support of projects and organizational alignment will be occasional up to 10% contingent upon Covid 19 travel restrictions.
Work Hours: This opportunity requires collaboration with worldwide stakeholders. Working on flexible business hours to connect with global stakeholders will be required to perform duties as outlined. Schedules will be flexible to support work-life balance and specific project/program needs.
