Description We are offering a role in the non-profit sector located in Seattle, Washington. The position is for an Executive Assistant, providing an opportunity to work in a dynamic environment. This position offers a contract employment opportunity.

Responsibilities:

• Management and maintenance of complex calendars, requiring frequent adjustments and rescheduling.

• Coordination of daily activities to ensure effective management of schedules.

• Decision-making regarding the executive's availability, which may include rescheduling or relocating meetings to optimize resources and time.

• Keeping the Leadership team informed of calendar, action items, agenda preparation, and materials coordination.

• Scheduling and managing internal and external meetings and events, including coordination of all logistics such as facilities set-ups, catering, travel arrangements, meeting documentation, promotional materials, presentation preparation, and hosting visitors.

• Researching and preparing materials for committees, programs, and projects, and assisting the Executive Vice President in resolving complex or sensitive issues.

• Composing routine correspondence, including letters, emails, and timely responses to actionable requests. Preparing materials for meetings and events including travel itineraries.

• Creating presentations, spreadsheets, and administrative standard procedures for the department/groups they support.

• Facilitating effective communication as the first point of contact in the Executive Vice President’s office. Screening, directing, and responding to incoming calls and inquiries. Prioritizing all communications and making independent judgments to route or compose responses as appropriate.

• Handling and coordinating administrative purchasing for the department, assisting in maintaining department budget and expense reconciliations, tracking business expenses, and reconciling monthly expense reports.

• Organizing and maintaining documentation, databases, and shared network space for the Leadership team.

• Coordinating activities within the department, between other departments, and with outside parties. This may include liaising with visitors, guest speakers, coordinating moves, etc.

• Driving special projects as assigned.

• Reviewing presentation slides for executive boards both internally and externally.

• Assisting in other administrative functions as required.

Skills: Proficiency in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time, Calendar Management, Correspondence, C-Suite, Documentation, Deal Teams, Microsoft Teams, Manage Calendar, Communication. Requirements • Demonstrated proficiency in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time, and Microsoft Teams is essential.

• Solid experience in Calendar Management and Correspondence is required.

• Familiarity with C-Suite and Deal Teams is necessary.

• Proven ability to handle Documentation tasks efficiently.

• Strong capability to Manage Calendar and maintain schedules effectively.

• Exceptional Communication skills to interact with various stakeholders across the organization.

• Prior experience in the non-profit sector is desirable but not mandatory.

• Prior experience as an Executive Assistant is a plus.

• Ability to multitask, prioritize, and manage time effectively.

• High attention to detail and problem-solving skills.

• Excellent written and verbal communication skills.

• Strong organizational skills with the ability to multi-task.
