The Department of Integrated Facilities Management has an outstanding opportunity for a Director of Maintenance & Operations to join their team.
Reporting to the Vice Chancellor for Finance & Administration (VCFA), the Director of Maintenance & Operations oversees the infrastructure, landscape, and built environment of UW Tacoma, managing the day-to-day operations for facilities totaling over 500,000 square feet spread over a 46-acre mixed-use campus. This role is responsible for resource management across operations, maintenance, repair/renewal projects and sustainability in operations. Responsibility includes developing and sustaining a structured work management and control process, to increase efficiency, minimize downtime, and ensure resources are used effectively to support strategic goals like cost management, risk mitigation, and the improvement of facility reliability and service quality. The Director plays a key role in ensuring that the campus’s natural and built environments are properly maintained to support its mission.
This position involves the coordination and supervision of the activities, functions and staff of a multi-faceted services department, to provide support and rapid response to a diverse constituency. It will be expected to maintain high standards for the provision of a safe, productive, and nurturing environment, a pleasing appearance and superior reliability and efficiency of buildings and utilities, all within tight budgetary constraints. Position responsibilities include oversight of ongoing and preventative maintenance of all University buildings and structures, including electrical, mechanical, and plumbing systems associated with heating, air conditioning and related chillers, fans, pumps, motor controls, and structural integrity and appearance of buildings. This position is also responsible for appropriate maintenance and operations related to the exterior grounds of the campus as well as custodial services for all buildings. This position must develop and maintain interdepartmental and community partnerships that create positive and effective results. This position will also reach out to on-campus vendors, retailers, apartment owners/managers, etc., to provide and coordinate facilities operations support and create an additional funding source. This position must develop policies, procedures, and appropriate cost structures to provide consistent service delivery to all such external customers. Needs for these external customers may differ from needs of campus customers and thus creativity and flexibility will be required to support them.
DUTIES AND RESPONSIBILITIES FACILITIES OPERATIONAL OVERSIGHT AND LEADERSHIP (65%)
Provide strategic leadership and oversight of UWTF Service Units, including: Managing facility and ground maintenance and repair/renewal; Ensuring 24/7 building operations, fire safety, environmental control systems, and infrastructure for UWT’s retail core; Overseeing campus-wide custodial work, including waste diversion through recycling; Ensuring employee safety and managing vendor and contractor safety compliance; Handling the safe removal of hazardous materials such as asbestos and lead.
Lead implementation of a structured work management and control culture and process, including:o Work Request Process: Capturing requests for maintenance, repairs, or facility services from staff, departments, or automated systems; Prioritizing and ranking tasks based on urgency, safety, regulatory requirements, and operational impact; Ensuring the right approvals are obtained before work is initiated, particularly for high-cost or complex projects.o Planning and Scheduling: Assigning the right resources (personnel, tools, and materials) to tasks; Coordinating work to minimize disruption to facility operations, often integrated into preventive maintenance plans or in response to service requests; Detailed documentation that outlines steps, materials, labor, and safety requirements for specific work tasks.o Work Execution: Real-time monitoring and tracking the progress of tasks to ensure they are completed on schedule and to the required quality standards; Managing changes to the scope or timing of work to avoid disruptions or inefficiencies.o Performance Measurement and Reporting: Upon closing out work orders, ensuring documentation is complete, including noting time taken, materials used, and any issues encountered; Measuring performance metrics like response times, work completion rates, cost, and resource utilization; Generating reports on work activity, costs, and resource efficiency to inform management decisions.o Maintenance Control: Regularly scheduled tasks to prevent equipment failure and extend asset life; Unplanned work triggered by equipment failure or damage; Monitoring and managing the backlog of pending work orders to ensure operational continuity.o Facilities Safety and Compliance: Ensuring that work is conducted safely and in accordance with regulatory and environmental standards; Maintaining records to demonstrate compliance with industry standards and legal requirements, such as OSHA guidelines.
Manage and provide representation in development and justification of annual operating budget, including utilities. Generate a recommended organizational budget and operate within approved allocations. Conduct periodic budget status reviews and internally reallocate resources as necessary to meet changing conditions.
Ensure a safe work environment for facilities staff and service contractors by overseeing the Facilities Safety Program.
Lead the planning, execution, and financial management of maintenance, renewal, and sustainability in operations projects with a focus on minimizing life-cycle costs.
Promote a culture of high performance, respect, professionalism, accountability, and collaboration, with a focus on diversity, equity, and inclusion.
Foster professional development opportunities for staff.LEADERSHIP, POLICIES & PROCEDURES, COMMUNICATIONS & RELATIONS (35%)
In close collaboration with the Sr. Director of Facilities Asset Management, provide inclusive, strategic leadership and manage the professional development and performance of the UWT Facilities and Asset Management staff.
Collaborate with university leadership on facilities operations and maintenance needs.
Ensure compliance with government regulations, including clean air and clean water laws.
Drive continuous improvement by measuring the performance of facilities operations and addressing feedback from internal and external stakeholders.
Lead cross-departmental collaboration for planning, maintenance, and support of UWT facilities.
Serve as a key member of the Finance & Administration Leadership Team, contributing to committee work and governance.
Develop transparent communication protocols with UW leadership, stakeholders, and community partners.
Lead efforts to improve the performance of the Facilities organization, ensuring it operates efficiently and addresses the needs of a growing campus.
Collaborate with Facilities Asset Management to enhance preventative maintenance, reducing reactive approaches in line with UWT’s Portfolio Management Strategy.
Promote UW Tacoma’s commitment to sustainability, reducing energy consumption and environmental impact. MINIMUM REQUIREMENTS
Bachelor’s degree in engineering, business, or a related field, and at least 8 years of experience managing operations and capital improvements for complex institutional facilities. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
Strong knowledge of facility operations, engineering, and architectural systems with a commitment to sustainability.
Strong interpersonal skills, experience collaborating with diverse teams and stakeholders.
Strong written and verbal communication skills.
Excellent organizational skills in identifying and prioritizing work activities; ability to work on multiple and concurrent projects. Experience with Microsoft Word, Excel, Access and PowerPoint. DESIRED QUALIFICATIONS
Master’s degree in engineering, business, or a related field.
Over 5 years of management experience in a large higher education or research institution.
Experience managing a unionized workforce.
Expertise in financial planning, construction management, and sustainability practices.
Familiarity with strategic management principles.
