The Department of Chemistry has an outstanding opportunity for a Director of Finance. This position is responsible for all the financial activities and overall financial direction in the Department of Chemistry. This position includes responsibility and oversight for departmental budgets, grants and contracts, and purchasing and logistics.

Position Purpose Under general direction of the Department Administrator, the Director of Finance is responsible for monitoring all fund types, and maintaining the chart of accounts for the department. The position directs a team of fourteen, which includes: managers, professional staff, and classified positions with duties in pre- and post- award management, contract administration, operational budget management, travel, and a research storeroom. Through effective interaction with faculty and executive leadership, the Director of Finance ensures the efficient management of chemistry accounting and inventory systems, development of resource rates, implementation of sound fiscal policies and procedures, and performs best ethical and fiduciary practices.

Characteristic Duties and Responsibilities General Department Financial Administration (30%)

  • Monitor and control expenditures on state budgets ($19M/year). Using Workday to oversee all current budgetary management. Provide reports/projections as required by the Administrator and Department Chair.

  • Administer department recharge centers, including rate determinations, amortization schedules, account balances, and periodic financial reports. Develop, implement, and oversee billing procedures.

  • Review department procedures and programs and identify compliance or process gaps. Recommend and implement changes, modifications, and expansion with appropriate documentation and analysis in order to meet institutional, state, and federal guidelines.

  • Develop and document departmental policies and procedures for purchasing and accounting.

  • In conjunction with department Administrator, manage Adaptive budgets.

  • Guide faculty, staff, students, and researchers on a variety of fiscal topics, such as pre- and post-award management; compensation; allowable expenses; and department, university, state, federal, and external agency policies, procedures, guidelines, and requirements.

  • Maintain and track DOF and GOF budget revisions, ensuring their accuracy and integrity.

  • Assist the Department’s Advancement Team with managing gift funds.

  • Present and communicate new policy, procedures, and processes both internally and externally to the Department.

  • Perform other duties as required.Supervisory Responsibilities (30%)

  • Supervise 14.0 FTE classified and professional staff primarily directing three (3) team leads in pre-award, post-award, and procurement. Includes hiring, training, and performance management; scheduling/prioritizing assignments; and implementing effective operating policies, procedures, and systems.Grants & Contracts (20%) Pre-Award

  • Support the pre-award manager in their role to work with the Department Administrator, Chair, Principal Investigators (PIs), for all aspects of pre-award grant and contract management and the coordination of pre-award services.

  • Represent the department as needed as a liaison with the pre-award manager to the Office of Sponsored Programs (OSP) for all aspects of grant and contract administration (e.g., external agency requirements, compliance).

  • Represent the Department within the campus community and provide interpretation and explanation of Chemistry policies and leadership viewpoints. Maintain close working relationships with outside agencies, UW and external representatives regarding proposal preparation and agency guidelines.

  • Maintain the Department’s SAGE and ASTRA user permissions, including adding and approving new user roles, as appropriate.

  • Perform other duties as required. Post-Award

  • Support post-award manager to oversee Department grant and contract accounting ($28M/year) including overseeing budget revisions and monitor account balances; perform analyses and projections and facilitate financial reports for PIs.

  • Ensure that Department cost share obligations are met and have been reported.

  • Maintain the Department’s cost center and security hierarchies within Workday, including adding and approving new user roles, as appropriate.

  • Represent the Department as needed as a liaison to both the UW College of Arts and Sciences Administrative Support Team (AST) and UW Grant Contract and Accounting office for post-award related activities

  • Oversee department FEC/ECC.

  • Perform other duties as required.Procurement and Research Storeroom (20%)

  • Support the procurement manager to oversee procurement process and supervise procurement of supplies, equipment, and services as required to meet Department needs and University, State, and agency guidelines.

  • Develop overall Department purchasing strategies to ensure lowest cost and lowest administrative overhead.

  • Serve as cost center manager for the department, approve and/or validate various transactions in Workday and Purchase Path including expenditures, invoices, etc

  • Oversee all Chemistry research storeroom budgets, projects, and rates, consulting with the Procurement Manager and Department Administrator as needed.

  • Develop a strategic plan for the research storeroom. Assess and balance user, campus, and Department needs.

  • Ensure the UW and Department travel policies are being followed and that Department employees and guests are getting their business-related travel needs met in an efficient manner.

  • Represent the department as needed as a liaison to both the UW College of Arts and Sciences Administrative Support Team (AST) and UW Procurement Services for procurement related activities.

  • Perform other duties as required. Minimum Requirements A Bachelor’s degree in accounting, business administration, financial management, data analytics, or a related field AND at least five years of increasingly responsible management-level experience in grant & contract administration, financial operations, budgeting, or a related field , OR an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired Additional Requirements Exceptional written and verbal communication skills; demonstratable skill with UW financial systems (Workday) and procedures; and experience with the grant proposal submission process (SAGE); high-level computer literacy. Desired:

  • Experience in a higher education, research institution, or similarly complex organizational environment.

  • Experience with UW systems (Workday, Adaptive, SAGE, Purchase Path, Business Intelligence Reporting tools).

  • Experience mentoring and leading staff and peers.

  • Demonstrated acumen with financial and problem-solving skills. Experience with data analysis, modeling, and forecasting.

  • Advanced knowledge of Excel and financial modeling.

  • Experience with standard office software, especially Word, SharePoint, Teams, Excel; prior use of Microsoft CoPilot or similar tools.

  • Strong communication skills, both written and oral; ability to build and deliver presentations to all levels of the organization and effectively explain complex issues and concepts with a focus on clear, concise, solution-centered messaging.

  • Ability to interpret, apply, and communicate institutional, administrative, and fiscal compliance guidelines and practices.

  • Experience interpreting and applying federal, state, and institutional policy.

  • Ability to quickly adapt and adjust to changes in organizational processes, compliance rules, and University of Washington guidelines.

  • Experience with grant submission systems (e.g., Fastlane, Grants.gov, eRA Commons).

  • Proven ability to handle executive-level confidential and financial information with a high degree of tact, judgment, discretion, and diplomacy, and awareness of ramifications of decisions.

  • Commitment to and orientation towards excellent customer service focused on proactivity and responsiveness.

  • Familiarity with enterprise-wide relational databases, multi-dimensional cubes, scripting languages, SQL Server (including SQL Server Analysis Services), and Business Intelligence reporting tools.
