Catholic Community Services Development and Communications Coordinator - Youth Tutoring Center in Seattle, Washington
$19.96+ per hour, DOE. This is a 30-hour per week position with medical, dental, and vision insurance, and generous paid leave.
The Youth Tutoring Program (YTP) is an after-school educational enrichment program for students in 1st through 12th grade who live in six low-income and public housing communities in Seattle. Begun in 1991 as a partnership with the Seattle Housing Authority, the tutoring centers provide youth with a positive learning environment and a tutoring program to help them build academic success. We provide structured tutoring with trained volunteers. We work within the communities we serve, connecting with schools and parents towards the goal of academic success. Coordinate and support donor fund development, volunteer cultivation, and related communication efforts of Catholic Community Services’ Youth Tutoring Program (YTP). Focus attention on developing new resources and strategies to increase and sustain donor and volunteer support for the organization. Lead the planning and implementation of fundraising and appreciation events. Nurture and maintain relationships with YTP supporters. Use email, social media and other communication tools to build enthusiasm and support for YTP. Position will be responsible for addressing areas such as: corporate donors, individual solicitations, gift processing, recognition, event production, communication and public relations, as well as developing strategy and supporting the volunteer coordinator with volunteer recruitment and retention. This position reports directly to the Youth Tutoring Program Manager.
Donor Research, Cultivation and Solicitation:
Work with YTP and CCS leadership to develop and implement an annual fundraising plan including taking a lead in securing $75,000 in individual contributions from solicitations and events and supporting the Program Manager in securing foundation and corporate contributions (including corporate matches). Develop steps to increase these totals during each fiscal year.
With support of staff, plan large annual fundraiser banquet (raising at least $50,000) and one smaller email-based fundraising event.
Research and make connections with prospective major donors as well as corporate and foundation funders.
Cultivate medium level donors, including building relationships, making solicitations, and securing donations.
Volunteer Cultivation and Management:
Work with the Volunteer Coordinator on the following:
Strategic recruiting initiatives to meet volunteer levels required at each tutoring center to cover center requirements and special project needs.
Community involvement strategies which specifically target volunteers from the communities where YTP has centers.
Visiting centers twice each quarter to connect in person to volunteers and support centers. Create regular feedback loops for volunteers who also contribute financially.
Organize, recruit and supervise interns who support YTP general operations.
Register, train and supervise volunteer groups for special initiatives (as time is available)
Donor and Volunteer Appreciation:
Develop and manage acknowledgement of donors.
Develop and implement timely and meaningful engagement and recognition events and activities to increase donor and volunteer satisfaction.
Work with Volunteer Coordinator to plan and administer volunteer appreciation events in April.
Evaluate donor and volunteer activities and appreciation events with an eye for reducing turnover
Publications, Public Relations and Marketing:
In collaboration with YTP leadership, develop and implement marketing and public relations strategies.
Develop and maintain volunteer and donor communication strategies and timeline
Coordinate and prepare newsletters, reports, appeals as a part of the above strategies.
Use Constant Contact, social media communications, Adobe Indesign, and other appropriate technology tools as needed.
Serve as a member of the rotating “Substitute Center Supervisor” pool, managing tutoring center operations at any of the six YTP tutoring centers when a Center Supervisor is unable to provide coverage.
Assist with the identification of grant opportunities, and participate in small appeal preparation (as time is available).
Organize and support the annual YTP picnic
Perform additional duties as assigned.
Bachelor’s Degree with at least two years fund development, volunteer management and/or communications experience (candidates with extensive additional experience without degree may be considered).
Demonstrated fund development success with track record of achieving revenue targets
Demonstrated ability to prospect, cultivate and secure new donors and volunteers through a variety of avenues (cold calls, presentations, sound research, etc.)
Proven excellence in written and verbal communication.
Experience with event planning.
Demonstrated success in planning, organization, time-management and problem-solving.
Knowledge and ability to use MS Word, Excel, Outlook, and the Internet for communication, reporting and research, and ability to learn new computer skills quickly, such as use of Constant Contact, Raiser’s Edge, database management systems, desktop publishing, and social media.
Interest in and commitment to educational and personal success for vulnerable youth.
Willingness to learn and work well within a team environment.
Demonstrated ability to gather, understand and use data to support program goals and development.
Ability to work an average of one evening per week until 8 PM for substitute duties, tutoring center visitation, fund development committee meetings or other tasks that may arise.
Support and uphold the mission, beliefs and values of Catholic Community Services and Catholic Housing Services and a knowledge of and commitment to working within the Social Teaching of the Catholic Church.
Criminal history background checks are required prior to employment.
CPR and First Aid Certification – within 30 days of hire.
Established contacts within local and/or national corporate, foundation or media communities.
Proficiency with computer applications for donor and volunteer management, such as MS Access, Raiser’s Edge and other databases.
Proficiency with computer applications and tools for professional publications such as Adobe Creative Suite.
Experience with social media and email campaigns.
Experience working in programs focused around youth development, especially with low income or refugee/immigrant youth.
