Reporting to the Chief Medical Officer and Vice President of Medical Affairs (CMO/VP) the CMO Office Project Manager (Project Manager) plays a critical role in supporting, managing, and driving high visibility projects and initiatives across the UW Medicine enterprise.

The Project Manager has dotted line reporting to the Executive Assistant to the CMO and is responsible for assisting the office in managing complex initiatives through the full project life cycle, from initiation to implementation. In general, these are clinical quality, workforce and care model initiatives and activities that involve multiple parts of the UW Medicine enterprise.

The Project Manager manages complex initiatives through the full project life cycle. They lead assessments of programs and services, organize project related meetings, manage project timelines, effectively prioritize projects and ensure timely completion. The Project Manager applies independent judgement when gathering, organizing, analyzing and managing data, in addition to designing project and governance structure. This position blends technical and process redesign skills, leadership, interpersonal and communication skills to meet business needs. They understand and adhere to a high level of confidentiality and professionalism and are accountable to stakeholders.

The work will often involve a variety of strategic, operational, and other business issues affecting both the clinical enterprise and the UW School of Medicine in support of exceptional patient care, practitioner wellbeing, educational excellence, resource stewardship and health system alignment.

DUTIES AND RESPONSIBILITIES Project Management (85%)

• Develops and maintains a service-oriented relationship with project sponsor(s) and collaborators including but not limited to the UW Medicine CMO, UW Medicine Associate Chief Medical Officer(s) and medical directors, UW Medicine Chief Quality Officer, the UW Faculty Lead for Learning), Vice Dean for Research and Graduate Education, Vice Dean of Administration and Finance), organizational leadership including Clinical Department Chairs, Vice Chairs and representatives, and principal stakeholders and project teams • Develops project charters for work required to accomplish scope and objectives • Develops appropriate project structure and governance and helps identify stakeholder participation with clear roles and responsibilities • Develops procedures for implementation, execution, control and review/audit of fiscal operations related to projects • Manages and implements improvements to budget processes and operations, including multiple record keeping and reporting systems for all sources of funding • Identifies estimates for project resources • Develops statements and scope of work • Develops plans around specific work (e.g. assessment workplans, implementation workplans, communication plans, change management plans) • Manages assessment work by gathering data, analyzing qualitative and quantitative data sets and coordinates with the Project Lead and project team to determine KPIs • Identifies or recommends action and/or options based on the results of the analyses performed • Maintains, updates, and communicates updates to the project governance structure and identified stakeholders throughout the project lifecycle: o Reports project progress relative to planned progress, including milestones or variance explanation, o Issues month-end status reports and/or customized reports for multiple meeting forums, as appropriate, o Facilitates development of go/no go criteria and leads the decision-making process, if necessary • Actively manages project issues and risks throughout the project lifecycle: o Encourages active risk and issue identification, prioritization/severity, and management o Documents and develops risk response plans o Communicates and escalates risks, barriers and potential mitigation plans to leadership, project team, project sponsor(s), and stakeholders, as appropriate • Facilitates regular project team meetings with agendas and meeting minutes • Ensure compliance with applicable laws, regulations, policies and procedures • Ensures high quality and timeliness of work produced by assigned project staff and escalates exceptions, as appropriate • Develops and uses standard tools, templates, policies, and procedures to manage projects and complete deliverables • Ensures thorough documentation needed so project is archived appropriately • Provides input, as requested, on project members' performances for inclusion in personnel evaluations • Maintain a project inventory and timeline

Office Support and Process Improvement (15%)

• Supports development of CMO Office maturity • Leads process improvement engagements internally within the CMO Office • Works with manager to set professional goals for career development • Acts as back-up for other team members and functions as needed • Actively fosters EDI in all aspects of the Project Manager role and pursues opportunities to make positive change across UW Medicine • In support of UW Medicine’s commitment to workforce wellbeing, actively fosters wellbeing in all aspects of the Project Manager role and pursues opportunities to make positive change at UW Medicine • Performs other duties as assigned

MINIMUM REQUIREMENTS

• Bachelor’s degree in project management, business or related field • At least 4 years of demonstrated success/results in a Project Management setting managing high visibility projects and demonstrated change management experience

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

• Work experience in a role requiring interaction with senior leadership. (e.g., Director level and above) • Demonstrated ability to partner with leaders, employees, and teams to work toward deploying a different future state • Strong executive presence, including communication and presentation skills with a high degree of comfort with large and small audiences • Proven experience motivating high-performing individuals and creating inclusive and collaborative team environments • Proficiency with Microsoft Project, Excel, Visio, PowerPoint, and SharePoint • Proven ability to collaborate across multiple areas to achieve a common business objective • Commitment to valuing diversity and contributing to an inclusive working and learning environment • Demonstrated ability to maintain positive, ethical, and professional working relationships with individuals from a wide variety of backgrounds

DESIRED QUALIFICATIONS

Experience with integrated healthcare systems
