The Department of Information Technology has an outstanding opportunity for a Business Operations Manager to join their team.
The Business Operations Manager provides leadership and guidance in critical areas of procurement and financial sustainability, ensuring adherence to University and State policies in an increasingly complex compliance environment.
As a member of the UW Bothell IT Leadership Team, the Business Operations Manager works collaboratively with team members on departmental improvements, will lead/manage projects, service and process changes, implement procurement processes and policies, and champion continual service improvements. They are also responsible for developing financial plans and sustainable IT budget models and working collaboratively across diverse groups to ensure projects and services are aligned with University goals and requirements.
DUTIES AND RESPONSIBILITIES Procurement & Asset Management
Oversee procurement processes (hardware, software, services); ensure compliance with State and University policies, and risk review process for security/privacy/accessibility; streamline processes to create efficiencies and improve quality of service working closely with UW Bothell Fiscal and Audit Services.
Oversee faculty and staff computer replacement service, coordinating with campus stakeholders and Bothell IT leadership to support the process.
Develop and refine processes and policies for procuring, receiving, and dispositioning of IT assets including appropriate internal controls.
Educate campus stakeholders regarding UW Bothell IT procurement and asset management policies and guidelines and serve as point of contact for clarifications.Business Operations
Develop new and continue refining existing IT financial models in collaboration with IPB and other stakeholders to facilitate long-term sustainability of IT assets and services.
Lead IT cost of services and rates development, identify cost savings/avoidance, and support decision-making.
Responsible for budget, forecasting, and review activities; track and report on variance.
Collaborate with Sr. Director on annual budget planning, narrative, and other documents.
Oversee departmental travel processes and guidelines including management of professional development funds.
Primary liaison with Human Resources for hiring processes, position reviews, UW & UW Bothell HR policies and procedures.
Create and refine UW Bothell IT hiring processes to ensure consistent and inclusive practices; develop and continue refining on-boarding and off-boarding staff processes.IT Leadership/Management
Supervise 1.0 FTE. Lead, organize, and positively influence the team; promote an environment that is attractive to employees and that facilitates the recruitment and retention of staff. This includes, but is not limited to, staff development, recognition, motivation, and communication.
Recruit, hire, train, coach, motivate, and manage performance of permanent, temporary, and contract staff.
Build and champion a customer-focused culture that is based on equity and inclusion.
Collaborate with Bothell IT leadership on annual budgets, reports, narratives, and other documents.
Regularly communicate status of projects, activities, and services to team members, IT leadership, partners, and stakeholders.
Define and report Performance Metrics and Key Performance Indicators (KPIs).Unit-Specific
Continue upgrading knowledge, skills and abilities necessary to keep abreast of academic and collaborative technologies, emerging technologies, University and state regulation/policy changes.
Build relationships and collaborate with colleagues across the campus and the University of Washington; find ways to leverage existing services, products, and tools to benefit campus constituents.
Support and demonstrate UW Bothell’s Collaboration Principles. MINIMUM REQUIREMENTS
Bachelor’s degree in Business, Liberal Arts, Economics or related area and Minimum 4 years of experience supervising staff and demonstrated competency in the majority of these areas: procurement; work in a compliance heavy environment; building internal controls; budgeting; cost management; cost of services / rates; process improvement. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
