The Department of Medicine's Division of Hematology & Oncology has an outstanding opportunity for a Temporary Budget/Fiscal Analyst.
Under the direction of the Assoc. Administrator for Finance, this position will participate in pre and post award functions.
This position is required to integrate information from multiple sources to ensure that all the requirements of the University and external agencies, institutions and industry are met. This position requires independent judgment and decision-making in researching and resolving queries relating to the payables and receivables management of Central Admin controlled budgets. This position is required to coordinate efforts across the Cancer Consortium including UWMC, FHCC, SIBCR and Harborview departments and staff. The successful candidate will be expected to go through training and assist with the introduction of Workday as the financial system for the UW.
Duties and Responsibilities
• Prepare and submit complicated Faculty Salary distributions, understanding Salary Cap Cost Share, clinical FTE, X and Y components and all areas of Faculty Salary. Complete eFECs and it’s equivalent in Workday, understanding all compliance and ensuring the Division meets any requirements. Able to identify areas of concern, research issues brought by disease teams, and resolve discrepancies. • Responsible for eGC1’s, advance budget numbers, budget extensions etc. related not only to Faculty Salary but when requested by teams. • Track and invoice on service agreements with FHCC, and any other entities. For all receivables, maintain accurate and up to date aging report, establishing follow up procedures to ensure payment is received in a reasonable time frame. Troubleshoot any issues with invoicing. • Through the CTMS system Oncore, issue invoices and receive payments, ensuring the financial information is up to date. Through Workday, issue invoices and receive payments for contracted activity that does not appear in CTMS. • For the entire Division, approve all purchases in ARIBA, and Workday equivalent, including purchase orders related to sub contracts. This requires in depth knowledge of the University of Washington’s policies on procurement, travel, food, sub contracting and HIPPA. Write and update SOP’s based on changing policies and be able to respond to questions within the Division on policies or ‘how to pay’. • Assist and help train Fiscal Specialist 1 in areas such as travel, purchasing, invoicing, tracking multi use budgets etc. • Attend assigned Workday trainings and assist in writing and updating SOP’s related to new processes.
• A Bachelor's Degree with major study in accounting, business administration, or related field and two years of work experience as a Fiscal Specialist, or equivalent combination of education/experience. • Effective and professional oral and written communication skills; exceptional problem-solving skills. Must be highly organized, service-oriented, flexible and resourceful. • Demonstrated competency in working with numbers and advanced proficiency with Microsoft Office, Word, Excel and Power Point. • Ability to perform all duties in a manner which demonstrates professionalism and an attitude of cooperation and willingness to be part of a team.
• Previous experience with Workday.
Working Environmental Conditions
This is not a remote position. Hired candidate will be expected to work on site in the FHCC campus.
Fast-paced office environment, with a high volume of often-complex projects. Tasks are deadline driven and require using a computer and telephone for the majority of the day. May require frequently walking to/from other buildings on campus.
