The Associate Director for Graduate Academic Services will be responsible for overseeing recruiting, admissions, and advising for STEM graduate students. They will have shared responsibility for budget management, strategic planning, and policy making for STEM fee-based graduate programs. They will lead day-to-day operations and student-facing activities in order to maintain organizational effectiveness.

The Associate Director for Graduate Academic Services will share responsibility for budget management and the leadership of Graduate Academic Services with the Associate Dean in STEM who is a faculty member. This position will lead student-facing events for STEM graduate programs and partner with the UWB Assistant Director of Graduate Studies to enhance the student experience, which is one of STEM’s strategic priorities. Additionally, having a staff leader for day-to-day operations supports the strategic priority of supporting staff well-being. This position will support UWB’s strategic enrollment management goals for graduate programs.

DUTIES AND RESPONSIBILITIES Operations

  • Serve as the Office of Graduate Academic Service’s lead for day-to-day operations, including being the representative for online platforms.

  • Build and manage annual budgets in collaboration with the Associate Dean for Graduate Academic Services.

  • Advise Associate Dean and work with senior staff regarding graduate operations and interaction between graduate and overall school operations.

  • Serve as the lead for conference sponsorships selection, application, and approval.

  • Oversee the search and selection process for teaching assistantships, research assistantships, scholarship recipients (academic and travel), and students assistants for the office.

  • Manage the communication of awards, including to PCE for tuition waivers.

  • Work with UW offices such as the Graduate School and UWCC to implement new degree codes and disseminate information regarding new degrees to appropriate external entities.

  • Assist faculty and advisors in understanding the effect of curricular changes on course enrollment.

  • Anticipate enrollment trends for annual budget forecast.

  • Develop, coordinate and participate in UW Bothell and School of STEM student-centered activities.

  • Serve as the lead organizer for New Student Welcome event(s), which includes interfacing with division faculty to arrange programming.

  • Serve as a backup when direct reports are out of office or during vacancies.Leadership

  • Lead Graduate Academic Services unit in implementation of program changes, new student orientation, graduate advising, career counseling, and office operations. Interface with external stakeholders (UW Educational Outreach, UWB Asst Director of Graduate Studies, UWB GFO, UW Graduate School) regarding non-fiscal fee-based operations.

  • Provide leadership in dealing with student problems, including student conduct issues when necessary.

  • Serve as voice of authority on UW policies and procedures for graduate student services.

  • Provide referrals to relevant campus resources for students where applicable.

  • Provide shared leadership with Associate Dean for items such as information systems, staff development, conference attendance, etc.

  • When delegated by the Associate Dean for Graduate Academic Services, represent the School of STEM across the School and campus regarding graduate student needs, emerging projects, and priorities.Supervisory

  • Supervise academic advisors, admission/recruiting staff, and OGS program coordinator.

  • Advise Graduate Career Counselor on student-facing issues.

  • Manage supervision, workload, training, mentoring, performance evaluation, and assistance with promotion and reclassification for all direct reports.

  • Work with Assoc Dean to coordinate activities of staff to ensure synergies among activities for different programs and ensure cross-training among staff to avoid gaps in service to the various STEM graduate programs.

  • Work with and train unit advisors to resolve student difficulties (academic performance, point of contact for students with personal problems). Support graduate academic advisors in interactions with Division faculty.

  • Work with and train advisors to anticipate and prepare for the effects on students of program changes.Strategic Planning

  • Assist Dean and Associate Dean developing/maintaining a vision for graduate education for the School of STEM.

  • Maintain awareness of current issues in graduate education through continuing education and networking across the institution and beyond.

  • Propose administrative and academic policies for graduate program development and operations. MINIUMUM REQUIREMENTS

  • Bachelor’s degree in liberal arts & sciences, Business Administration, or related field.

  • 5 years of experience in student-facing position and collaborating with others on complex projects.

  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. DESIRED QUALIFICATIONS

  • Familiarity with UW Graduate School policies and procedures.

  • Experience with UW online platforms (e.g., Slate, Canvas).

  • Leadership experience as a supervisor. CONDITIONS OF EMPLOYMENT Office space provided for in-person interactions; some telework possible.
