The School of Social Work has an outstanding opportunity for an Associate Director for Finance and Planning to join their team. POSITION PURPOSE The Associate Director independently analyzes, administers and manages SSW core, self-sustaining and gift funds to ensure the integrity of use along with the responsibility to ensure that fund uses and projections will be revenue neutral for each fiscal year per University of Washington fiscal policies. Fund analytics support for this will assist in setting strategic directions and goal setting for the School of Social Work for sustainability for the near and long term. The position supports the Assistant Dean of Finance & Administration in the annual determination of overall core funding and affordability that runs core mission centric activities of teaching, research and service. This affects the School’s primary academic programs for the bachelor’s, master’s and PhD programs and related support operations.
POSITION COMPLEXITIES The Associate Director, in partnership with the Assistant Dean of Finance & Administration has primary responsibility for oversight in the maintenance of the UW’s signature enterprise wide financial system, Workday. This is inclusive of relevant worktags for use to provisioning UW staff in the access of key systems to perform one’s role. The position will be a lead mentor to Fiscal Specialists, Budget/Fiscal Analysts, Budget/Fiscal Analyst Leads across the SSW in administrative fiscal policies and procedures.
In concert with the Assistant Dean of Finance & Administration and related staff, the Associate Director of Finance and Planning performs and coordinates college wide research and financial analysis in the areas of institutional effectiveness, strategic planning and financial management. This position has a wide range of responsibilities such as financial reporting, preparing complex analyses for special projects, and providing operational assessments. This position will develop, conduct research and analyze data for decision making and policy implementation in areas including (but not limited to) student enrollment and retention/attrition, modeling and financial forecasting, resource utilization, institutional and instructional costs and productivity, and benchmarking studies. This position will also be responsible for producing regular financial reports and presentations to the leadership team and other administrative units within the school as requested.
The role also serves as an advisor to faculty and staff on allowable costs on budgets from multiple sources; interpret existing budget policies for staff and other administrative personnel. They represent the School on institutional committees, as assigned. The position also represents the UW and consults with other agencies regarding budget/fiscal matters.
The Associate Director authors and refines policies and procedures in conjunction with the Assistant Dean of Finance & Administration and related financial staff for school wide financial and administrative processes including financial management, travel, and purchasing as well as acquiring, interpreting, and disseminating information to all units within the School. This includes assisting with the design and implementation of the financial and administrative procedures and guidelines for the School intranet. The role will be responsible for the School’s fiscal year and biennium close including management of applicable budget types and classes under their purview along with creating timelines for fiscal year/biennium year closes that are in alignment with central UW Financial Management procedures.
May serve as alternate in the absence of the Assistant Dean of Finance and Administration in SSW and UW meetings concerning finance administration including but not limited to UW shared environment efforts along with requests from SSW leadership for financial information.
POSITION DIMENSIONS AND IMPACT TO THE UNIVERSITY The Associate Director serves as the primary administrator for the School of Social Work core funds administration including GOF, DOF and ICR funds. In addition the role oversees administration of self-sustaining program and gift fund management broadly. The Associate Director is responsible for ensuring that the non-research financial resources of the School are used effectively and efficiently in compliance with the mission of the School of Social Work. The School of Social Work currently administers over $30 million of University of Washington non-research funding, including a wide variety of core state, designated operating funds, self-sustaining program, and gift & endowment budgets. Responsibilities will include planning for expenditures of funds, controlling and authorizing expenditures in partnership of School of Social Work Dean’s office staff, supervision of fiscal staff, creation, and maintenance of a School of Social Work data analysis system that track fund analytics for planning purposes and, in conjunction with the Assistant Dean of Finance and Administration, developing and refining policies for fiscal management and administration for fiscal operations. The Associate Director will be responsible coordination with UW units and central financial units on funds administration including but not limited to the Office of Finance, Planning and Budget, UW Treasury as well as peer academic units across the tri campus spectrum at the UW.
DUTIES AND RESPONSIBILITIES Financial Data Analysis & Reporting Financial Data Analysis
Provide high level of operational expertise through analysis and interpretation of data gathered for decision support.
Support the Assistant Dean with information to support data driven decisions to achieve strategic goals.
Develop and provide comprehensive financial, statistical, and business analyses, business and financial forecasting, and financial modeling, using a broad range of tools and technologies.
Develop analysis to support school wide funding model changes.
Design and build complex queries, data flows, and data visualization, design reports, design charts and graphs, write summaries of results and proactively write and maintain documentation of protocols for data access reporting analysis.
Clean and normalize data required for all internal and external reporting requirements.
Develop and support standardized and customizable financial reports for all sources of funds, budget revisions, commitment tracking, state line budget reviews, distributions of scholarship and endowment funds.
Working closely with Assistant Dean, through the utilization of enrollment data, manage the forecasting and revenue cycle for the various state-line programs including the School’s BASW, MSW and PhD programs and their related instructional costs.
Refine models for predicting the impact of changes to enrollment patterns.
Provide project management and analytic support for the Assistant Dean of Finance & Administration as requested.
Respond to ad hoc data requests by SSW leadership. Reporting
Provide regular financial reports to Assistant Dean of Finance & Administration and other school wide leadership as requested.
Working with direct reports, prepare reports, financial statement information.
Report to Assistant Dean using financial and operational metrics, including performing ad-hoc audits of the financial metrics used for data accuracy.
Analyze reports prepared by others in the University and evaluate their impact on the School.
Participate in the university-wide year-end audit reporting process.
Develop key metrics to measure and report on evolving strategic planning goals from the School of Social Work as they are formed by the Dean and leadership.Budget Management
Facilitate the development of the annual budget and operating plan that supports mission, strategic goals, and core values of the School of Social Work with related financial partners.
Work closely with Assistant Dean of Finance & Admnistration on year end and biennium close.
Serve as an advisor to faculty and staff on allowable costs on budgets from multiple sources.
Participate as a representative on institutional committees, as assigned.
Consult with representatives from other UW units and statewide agencies regarding fiscal matters.
Analyze and help control for budget variances to ensure sound fiscal management.
Track and report on any funding and adjustments to funding agreements.
Review funding requests for accuracy and performing appropriate analyses of requests.
Work closely with direct reports to ensure the validity of the financials and report results to stakeholders.
Develop policies and procedures in conjunction with the Dean’s Office finance staff to ensure compliance with generally accepted accounting principles, state guidelines, and university policy.Other duties as assigned
Support or conduct special projects as assigned by SSW leadership
Oversees SSW-wide fiscal staff as part of UWFT, including maintenance of UWFT Workday implementation, and operations post go-live.
Attendance at meetings on behalf of the Assistant Dean of Finance & Administration MINIMUM REQUIREMENTS
Bachelor's Degree in Business, Accounting, or a related field.
Four to five years of experience Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
Bachelor’s degree (preferably in Business or Accounting) and four to five years of experience working in a University financial setting (or equivalent combination of education and experience with an emphasis on budget, operational, and fiscal management).
Must be skilled in creating and using complex MS Excel spreadsheets, using MS Access queries and reports, and other information systems for financial management. Must also be experienced with using MS Word, and MS Powerpoint.
Demonstrated knowledge or ability to learn quickly the major UW systems including EDW, Workday, systems.
Ability to accurately analyze complex financial and accounting data and communicate clearly to faculty and staff.
Must possess an understanding of complex business practices that include UW state budget process, self-sustaining entities, and UW fiscal management.
Must communicate well both orally and in writing and be able to understand both the details and the bigger picture
Must demonstrate strong interpersonal skills and leadership, work independently and creatively, be a self-starter, team player, and a positive member of the School.
Must have a management style that emphasizes teamwork, communication, collegiality, flexibility, trust, patience, and accountability.

Masters degree in education, public policy, or business administration.
Understanding of UW organizational structures for reporting.
