We have an outstanding opportunity for an Assistant to the Director to serve in a dual support role for the Director of Tribal Relations and the Director of Events and Communications. Reporting directly to Director of Tribal Relations, the Assistant serves as an integral research and planning resource for the Directors. This position experiences daily contact between the UW community, the state government establishment, Tribal governments and other external stakeholders. The position requires strong interpersonal and relationship building skills, excellent written and verbal communications skills, and a high degree of organization. With delegated authority from the Director, the Assistant has autonomy and performs professional-level administrative functions and makes decisions that could have great impact to the offices.

Position Complexities:

The Assistant to the Director must be self-motivated; able to exercise independent judgment, decision-making and confidentiality; all with limited supervision. This position must maintain schedules for multiple entities, including the Director of Tribal Relations, the Director of Events and Communications and, when appropriate, the University President, Provost, other executive-level members of the university community, and visiting faculty and staff.

The Office of External Affairs is a small office located in Seattle, WA. This role will balance two fast-paced environments (Tribal Relations and Events and Communications) and must respond to competing demands from the Seattle campus and external stakeholders. Competitive candidates will possess demonstrated initiative and use of sound judgment. Inherent to success in this position is the proven ability to be flexible, maintain a positive outlook and calm demeanor, possess strong organization skills, detail orientated, and work independently, especially during times when the Directors are away from the office for frequent meetings or travel.

This is a detail-oriented position and requires someone capable of multi-tasking and the ability to work effectively under pressure. They must be able to communicate effectively with a wide variety of individuals.

A dual reporting role, the Assistant to the Director will assist with projects related to tribal advocacy, events and communications. Interest in this work is essential for a successful candidate. An ideal candidate would have experience with web design and graphic design for social media.

Position Dimensions and Impact to the University:

The Assistant to the Director manages the complex administrative functions of the offices and provides legislative, research, event planning, communications and constituent management support to the Directors. Daily responsibilities include complex calendar planning and management, fiscal management, office and space management, communications, and performing legislative analysis and research. This position is an important member of the Office of External Affairs team that provides support for the overall government relations effort on behalf of the University. This position will have autonomy and exercise independent judgement to perform professional level administration and management of administrative functions.

Duties & Responsibilities:

45% Government to Government Relations Support:

• Understand the complexity of the tribal relations, exercise independent judgement and responsible for decision-making. • Develop and maintain positive working relationships with Tribal governments and communities, and UW administration. • Maintain and update a high-level overview of each of the Tribal Nations and communities in the state and region. • Manage and be responsible for outreaching and executing Government to Government relations support projects. • Research, analyze and establish policies, guidelines and best practices.

35% Project and Events support:

• Manage and execute quarterly event planning in partnership with the director of events and communications. • Provide day-of event management, guest services, and actively participate in problem solving. • Develop and maintain various graphic design, web and social media projects. • Responsible for strategic project research, planning, and evaluation. • Occasional nights and weekend work required (less than 10 days a year)

15% Professional Interactions and Fiscal responsibility:

• Interact with a wide variety of individuals including governmental and university officials, constituency, and other external stakeholders. • Make independent decisions and be the Director’s delegate when the Directors are not available. • Manage and analyze financial activities for Tribal Relations and Events & Communications offices.

5% Facility and Special Project Management:

• Responsible for facility and office operations for Tribal Relations and Events & Communications offices. • Manage special projects as assigned.

Lead Responsibilities: • Develop and maintain positive working relationships with Tribal governments and communities. • Manage day-of event management, customer interface, and problem solving. • Fiscal and Office operation management.

Requirements include:

• Bachelor's Degree in policy, political science, communications, American Indian studies or related field. • Two or more years’ experience working in a professional office, preferably in public affairs, government relations, or legislative environment. • General understanding of the history, cultural distinctiveness, protocols, traditions, contributions, and sovereignty of Tribal Nations as well as an understanding of current issues facing Native communities. • General understanding of the state legislative and regulatory processes. • Must be proficient with Microsoft Office software (Outlook, Word, Excel, Teams, SharePoint). • Knowledge of electronic forms of communication, including zoom and social media platforms • Excellent written, verbal, and interpersonal communication skills are a must as is the ability to work under the pressure of deadlines with little or no support.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired:

• Experience interning or working for a member of legislator, legislative committee, or state agency. • Experience working in a higher education environment or tribal government, related experience or education may be considered. • Knowledge of issues affecting academic research and/or public universities. • Knowledge of Washington state geography and public policy issues. • Experience with web design and graphic design for social media.
