Assistant Facility Manager

Job Description Summary

The Assistant Facility Manager will assist the regional facility management team to ensure successful service delivery of the client’s facility needs. The Assistant Facility Manager will also be responsible to support the day-to-day implementation of policies, procedures, programs, and workplace services delivery. This role will place an emphasis on a positive response to the concerns and needs of the tenants, environmental health and safety, and quality programs, in coordination with the client's goals and objectives and in concert with the internal Amazon Team and FMs that this position will be supporting.

This role will also directly support the facility management team with on-going facility and team related responsibilities.

Job Description

Service Delivery

  • Provide general overall facility management services, including continuous monitoring of region work orders and SLAs.

  • Follow up with vendors to ensure timely completion of reactive work orders submitted by the facilities manager.

  • Close out work if there are no follow ups and work directly with FM if there are items that need to be addressed when work order is closed.

  • Coordinate with service providers for any service and or repairs required at any building.

  • Identify opportunities for improved operation and service excellence, making recommendations for site inspections and assessments to ensure all building procedures and performance measures are always maintained and the provision of a safe workplace.

  • Provide information and direction to vendors, facilities staff and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption.

  • Assist in the procurement of vendors and services as required and or updating contract changes via contract requests as required.

  • Provide coordination and support events, meeting, and conference facilities as required.

  • Review work order metrics and system to identify service gaps and recurring issues and provide corrective actions to support.

  • Drive innovation through development of best practices, operational service efficiency

  • Perform other related duties as required or requested.

  • Support third party tenants or other occupants of the portfolio as required (reactive requests, coordination of site inspections, documentation of Preventative maintenance work)

Client Relationship Management

  • Comply with all requirements of the client contract and meet or exceed Key Performance Indicators.

  • Deliver an exceptional quality of service, as reflected by client feedback.

  • Coordinate site operations in accordance with all agreed policies, procedures, and contract scope.

Finance Management / Cost Control / Profitability

  • Support operational reporting, budgeting, financial systems and purchasing as needed by the Facility Management Team.

  • Identify and respond to any financial or budgeting related issues.

  • Support prompt and accurate management of purchase orders in finance systems.

  • Seek ways to constantly reduce costs and improve operational standards.

Previous Experience

  • Prior experience in facilities, property management, hospitality, or related field preferred.

  • Knowledgeable of local occupational health and safety requirements, critical facilities and vendor management for specialized services is advantageous.

  • Proficiency in a range of information technology tools and platforms.

  • Excellent communication, organization, and problem-solving skills.

  • Ability to work independently with little supervision and effectively deal with stressful situations.

  • Self-motivated; confident, energetic, and flexible.

Key Competencies

  • Technical Proficiency – Competency in Microsoft Office Suite (word, excel, PowerPoint and outlook). Experience in Yardi and CMMS software is preferred.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $36.00 - $36.06
