The Department of Radiology has an outstanding opportunity for a Assistant Director- Research Administration to join their team. POSITION PURPOSE

The Assistant Director- Research Administration contributes to the growth and success of the School of Medicine (SOM), Department of Radiology by executing its mission and vision. As a key leader of the Department, the Assistant Director- Grants will be responsible for the development of department grant policies and procedures and the administration of grant management functions across all components of this large multi-site department. This position reports to and works with the Associate Director of Finance and other notable leadership and is an active participant in the development of strategies with respect to the grant well-being of the Department.

This position will also have supervisory responsibility and direct management of the Grants team, which includes facilitating pre & post award operations.

This position independently manages all departmental grant and contract activities with applicable state and federal regulations, laws, and guidelines. Monitors compliance with all contractual requirements, including level of effort, deliverables, milestones, and dates, supervises one or more fiscal staff.

DUTIES AND RESPONSIBILITIES Grants Management, Assessment and Strategic Planning (70%)

• Responsible for development of grant budgets, monitoring of expenses, and reporting information related to the grants operation of the Department. The incumbent will be expected to make recommendations as to appropriate actions needed to reduce financial risks and increase program viability. • Maintain a system that effectively monitors the department’s grants • Report to Associate Director of Finance, Vice Chair-Finance & Administration, Vice Chair of Research, Department Chair, and other SOM executives on a regular basis, describing the state of the department grant funding and recommend and implement corrective budget actions if necessary. • Provide strategic partnering with department leadership to create innovative and flexible approaches to the business practices as it relates to the management of rapid change in the department – this involves proactively addressing new initiatives, developing new plans to address growth, and implementing the necessary infrastructure. • Participates in the negotiation and administration of grant and contracts awards. Advises principal investigators, administrators, and other research coordinators on procedural matters related to research grants and contracts. • Serve as an expert resource for the department to ensure grant and contract processes are compliant with funding agencies and university policies and procedures. • Serve as department liaison on behalf of PI with Office of Sponsored Programs (OSP), Grants and Contract Accounting, and other UW Departments as it relates to grants, awards, and research projects. • Manage the financial planning and analysis for all department grants, sponsored agreements and contracts • Reviews proposals and task descriptions for research grants and contracts, working independently or in collaboration with research scientists and engineers. • Provide on a regular basis, complex budget reports to Principal Investigators (PIs); meet with PIs and review overall grant and contract health and forecasting; assist PIs with personnel expense adjustments (costing allocations, hiring, layoffs). • Maintain oversight of complex faculty effort reports; work directly with PIs to resolve cost-share requirements or any requirements for non-federal funding sources. • Attend conference and workshops regarding Grants and Contracts, and Research Administration and share new developments with the P.I.'s and RGA staff.

Direct Grants Team (30%) • Supervise either directly or indirectly all Radiology Grants Administration (RGA) staff within the department—this includes budget/fiscal analysts, program operations specialists and student assistants. • Administer the development of operational processes and procedures and provide instruction/training to staff on research grant and contract policies, procedures, and the proposal process. • Recruitment and selection of grants team candidates, leadership and workforce planning, performance management (performance evaluations, coaching, mentoring, and corrective actions), employee relations, and adherence to all applicable laws and contracts governing human resources. • Additional related duties as assigned.

MINIMUM REQUIREMENTS

• BS/BA in Finance or Business from an accredited school or college AND a minimum of five years financial/accounting experience in a position of increasing responsibility and complexity.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

• Proficiency with 1) Excel spreadsheets, including links, pivot tables and displaying data; 2) word processing and databases in a Windows environment. • Demonstrated ability to generate and present financial reports to executive leadership. • Demonstrated ability to work well with faculty and staff, with effective communication and positive attitude for delivery of excellent fiscal services. • Excellent communication skills. Must be able to present data and explain policies and procedures to various levels and groups of people. Must be able to effectively train support staff.

• Ability to adapt to new systems and take the lead in establishing new processes associated with significant change. • Ability to creatively problem solve.

DESIRED QUALIFICATIONS • MBA, MHA or other relevant advanced degree. • Proficiency with UW financial systems and processes. • Experience with UW systems (MyFD Desktop, Workday, Grant tracker, Ariba, eProcrurement, SAGE,) and UW policies/procedures. • Knowledge of School of Medicine policies, regulations and institutional/state accounting and/or budget procedures is highly desirable. • Experience supervising fiscal staff and directing operational activities.

Supervision:
This position reports to Associate Director of Finance in the Radiology Department.

CONDITITONS OF EMPLOYMENT

• Schedule is normally 8a to 5p, M-F but is not always fixed and workload does vary. The incumbent¹s first responsibility is to complete tasks rather than keep to a fixed schedule. Flexibility in schedule and intensity of work is necessary. • Work is suitable for occasional telework. • Some travel between sites may be necessary by UW Health Services or other shuttles.
