The School of Dentistry has an outstanding opportunity for an Assistant Director of Finance and Accounting to join their team.

The School of Dentistry finance and accounting team supports all finance related matters of the School of Dentistry including clinical accounting and cash handling for 13 dental clinics. Our team collaborates in a fast-paced environment with a high volume of insurance and patient revenue, while managing a complex clinical management system. The School of Dentistry finance and accounting team serves diverse populations, and we are equally committed to supporting diversity and inclusion in the workplace.

The Finance and Accounting office at the School of Dentistry (SoD) provides accounting support for the Dean’s Office, departments and patient-care clinics throughout the School of Dentistry. This includes cash handling support, insurance and patient payment processing and posting, financial report production and review, and budget reconciliations. Under the direction of the Director of Finance and Accounting, the Assistant Director of Finance and Accounting provides high level reporting and fiscal support functions for the School of Dentistry clinics with annual revenue approximately $20 million. This position will provide financial reporting and analysis to senior administrations, Department Chairs and Clinic Managers, provide finance and accounting support to various units, and oversee cash management functions.

Working closely with the Director of Finance and Accounting, the Assistant Director will assist with developing clinical budgets for each clinic, perform variance and cash flow analyses and review the monthly Balance Sheet for the School. This position develops standards of operation for cash handling processes including daily bank deposits, monthly revenue reconciliation and accounting month end process for both the clinical system and University financial system. This position oversees and monitors all functions related to cash application, including implementing process improvements and projects. Additionally, the Assistant Director will supervise all employees in the Clinical Accounting Office.

DUTIES AND RESPONSIBILITIES Financial Reporting and Accounting Support (45%)

  • Assist with annual operating budget proposal in Adaptive for individual clinics and various departments.

  • Prepare variance analysis of current year and prior year(s) clinic financial results.

  • Perform an in-depth analysis for Core fund allocation and distribution and assist in Shared services Overhead rate revision annually.

  • Perform quarterly review of Accounts Receivable and deductions.

  • Reconcile financial data with the School’s clinical management system axiUm, and any specialized reports in Tableau.

  • Prepare fiscal reports such as year-end reports. Monitor and distribute gifts and grants funding and monitor deficit reports. Coordinate and assist department administrators in developing plans for resolving deficits.

  • Monitor the SOD All funds Report, provide in-depth analysis and trending of financial reports, and make recommendations for process improvements.

  • Evaluate and recommend internal controls related to cash handling policy and procedures to ensure compliance with audit regulations and School policies. Act as SOD’s primary contact with auditors when needed.

  • Act as a liaison with Budgeting & Planning Office. Review the Institutional Overhead Rate and its application for the School.

  • Review transactions for compliance with UW policies. This position will be the primary Workday compliance approver for the School and will approve transactions prior to cost center manager approval.

  • Prepare the annual Council on Dental Accreditation (CODA) Survey report.

  • Provide finance and accounting analysis and advice to departmental administrators and department chairs and financial and statistical reports as needed.Clinical Support (30%)

  • Monitor monthly revenue reconciliations for 13 dental clinics including all types of payments and bank statements. Provide process improvements for revenue reconciliations.

  • Act as a primary contact for cash handling policy and procedure for the School.

  • Develop training materials on Cash handling process and cash application functions. Monitor Relias/UW Bridge training on cash handling and PCI (credit card) Compliance topics.

  • Act as a primary contact with various departments in the University in relation to cash handling policy and merchant services.

  • Oversee all cash applications functions, including claims and statements processing, daily deposit processing, refunds processing and allocation of payments in the SOD clinical management system axiUm.

  • Lead projects and implement process improvements for the Clinical Accounting and Cash Application unit.

  • Assess and assist in process improvements supporting clinical front desk activities and patient billing statements.Supervision (25%)

  • Supervise 5.60 FTE in the Clinical Accounting Office supporting cash application functions.

  • Perform annual performance management processes.

  • Oversee and coach temporary and/or student assistant staff who perform various fiscal functions.

  • Recruit and onboard staff as needed. Perform corrective action and recommend potential professional development for staff. MINIMUM REQUIREMENTS

  • Bachelor's Degree in Accounting, Business Administration or related field.

  • Experience (4-5 years) working in the accounting or fiscal field. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience (4-5 years) using Microsoft Excel in advanced level and utilizing analytical skills.
