The Department of Obstetrics & Gynecology at the University of Washington has an outstanding opportunity for Assistant Director of Communications & Public Engagement. POSITION PURPOSE The purpose of this position is to direct the Department's communications and event coordination efforts. The Department of 0b/Gyn is a clinical academic department of the University of Washington School of Medicine (SOM) which is part of UW Medicine. The Department provides patient care services at 27 different sites including Harborview Medical Center (HMC) and the University of Washington Medical Center (UWMC) clinics. The Department is actively involved in clinical service, research programs, residency training programs and educational programs. The department employs approximately 130 total regular faculty and over 250 clinical faculty, 28 residents and 9 fellows, and 100 staff.
The Assistant Director of Communications & Public Engagement will lead the department's internal and external communications efforts, generate and maintain information-sharing forums (ex: SharePoint) for OBGYN faculty & staff, assess current and future departmental communication needs with guidance from key faculty and staff, serve as the liaison with UW Medicine Advancement and UW Medicine Marketing and Media Relations, and coordinate special events including, but not limited to, OBGYN Grand Rounds. This position will report directly to the Vice Chair of Administration & Finance. His/her success will significantly affect the reputation of the department, SOM and UW.
DUTIES AND RESPONSIBILITIES Department Communications (40%)
Guide, oversee and prioritize all internal and external department communications efforts.
Participate in Senior Leadership Meetings and keep communication strategy efforts in line with Department priorities.
Develop key communication messages to policy makers, funders, and partners.
Manage media requests and serve as a spokesperson.
Oversee all content generation and distribution of external communications including newsletter and website content.
Manage the hiring and use of independent and UW contractors for design and publication of various communication materials including websites, print materials, videos, etc.
Select and direct the work of freelance designers and programmers.
Manage the maintenance, analytics, and content of the UW Medicine and UW Ob/Gyn Department website.
Create and update webpages in collaboration with faculty and staff.
Maintain faculty and staff profiles on the website.
Plan and create content for department social media accounts.
Produce and disseminate monthly department newsletters.Strategic Communications (20%)
Develop and implement a comprehensive communication plan for the Department Ob/Gyn.
Collaborate with department leadership to develop key messages and communication opportunities to promote the department's mission and activities.
Draft communication materials on behalf of the department Chair.
Help shape department communications messaging.
Represent department communication activities at Executive Leadership meetings.
Participate in internal and external communication committees (UW Medicine Marketing editorial calls, SOM Communications meetings, UW communication/publication committee meetings).
Work with website administrator to set development and content priorities for department website.
Work to develop consistent branding for department websites and to create a "communications toolkit" of appropriately branded templates for department use.
Provide input, as necessary, to internal communications activities and initiatives.
Organize and participate in committee meetings to set department social media strategy.
Develop capacity for community and education outreach efforts to promote public awareness and understanding of the services provided by the Department of Ob/Gyn.Development (25%)
Work with department leadership and UW Medicine Advancement to create and implement a comprehensive development strategy.
Serve as the primary liaison with UW Medicine Advancement.
Write and edit communications pieces related to development efforts including proposals, case studies and event materials.
Attend meetings, retreats, conferences, etc. to enable a broad understanding of the department's development efforts.
Manage alumni relations in conjunction with Department leadership.Media Relations (10%)
Serve as the primary liaison with UW Medicine Marketing and Media Relations.
Pitch stories about department research and activities to internal and external media contacts.
Serve as the primary department resource on interviews, media coverage and press releases.Public Engagement and Event Coordination (5%)
Manage Grand Rounds scheduling, including speaker coordination, logistics, and on-site support.
Coordinate special speakers and workshops with relevant department staff.
Design and maintain Department Resources SharePoint site.
Develop automated workflows for recurring administrative tasks.
Train faculty and staff on information sharing technologies.
Capture, edit, and store photos for department use during key events. MINIMUM REQUIREMENTS
Master’s Degree in Marketing, Communications or related field.
Minimum of two years of progressively responsible experience in marketing, communications, journalism or related field in an academic medicine clinical department. DESIRED QUALIFICATIONS
Experience in higher education, and/or health care.
Proficiency in: Photoshop. Video shooting and editing skills.
